What are the responsibilities and job description for the Estimating Assistant/ Coordinator position at Jennsons Installations?
Estimating Associate/Coordinator is an entry-level role focused on measuring floor plans and blueprints to produce accurate quantities for bids, contracts, and material orders. This position supports flooring, wall finishes, countertops, and pavers. Working directly under our Lead Estimator, you’ll receive hands-on training while supporting project managers with documentation, scheduling, progress tracking, and communication to ensure projects run smoothly and efficiently.
Essential Functions
Estimating & Bidding
- Review bid documents, drawings, addendums, and forms.
- Request vendor pricing and verify material lead times.
- Attend pre-bid and builder meetings as needed.
- Analyze plans and specifications to confirm accuracy and product requirements.
- Prepare and submit bids, including digital submissions.
- Complete takeoffs using estimating software (Measure Square & RFMS Measure).
- Create custom diagrams by material, plan, or lot.
- Process and adjust for material issues (e.g., shortages).
- Work with Lead Estimator to resolve discrepancies.
Project Support
- Coordinate schedules, documentation, and communication between teams and stakeholders.
- Track project records, submittals, RFIs, change orders, and correspondence using client-approved software (e.g., Procore).
- Monitor field progress and report discrepancies.
- Assist with scopes of work, construction schedules, and supporting documentation.
- Maintain accurate data in project management systems.
- Contribute to project reporting, financial tracking, and close-out documentation.
- Support quality control by reviewing documents for accuracy and compliance.
- Provide guidance on documentation standards and project systems.
Other Responsibilities
- Attend business meetings, industry events, and conferences as needed.
- Perform additional tasks as assigned.
Skills & Qualifications
Required
- High school diploma or GED.
- Strong math and problem-solving skills.
- Ability to interpret 2D plans and visualize 3D data.
- Solid computer skills (Excel and other Microsoft Office products).
- Excellent written and verbal communication.
- Strong organizational and multitasking abilities.
- Ability to work independently and in a team setting.
- Adaptability, willingness to learn, and a positive attitude.
Preferred
- Associate’s or Bachelor’s degree (or 2-year technical degree).
- Bilingual (English/Spanish).
- Knowledge of flooring systems.
- Experience with Measure Square, RFMS Measure, or Callidus.
- Familiarity with project management and contract administration.
- Experience supporting projects through traditional and alternative delivery methods.
Job Competencies
