We are seeking an part time Office Administrator with medical records and HIPPA experience to join a major utility company in Milwaukee for a long term contract.
Pay: $25-30/HR
This will be 5 days per week, for 4 hours per day
On-site in downtown Milwaukee.

The ideal candidate will be someone who has previously dealt with HIPPA information and medical records.
Rate range: $25.00 - $30.00/HR
Key Responsibilities
- Receive, process, and manage highly confidential data, ensuring strict adherence to HIPAA and privacy regulations.
- Process incoming mail, including formal medical records requests and legal subpoenas. Gather corresponding information from physical paper files, scan, and prepare secure PDF packages for requestors.
- Manage incoming digital faxes; efficiently route Worker’s Compensation claims to the appropriate insurance carriers.
- Take ownership of basic accounting tasks, including managing, tracking, and processing invoices.
- Sort and distribute physical mail, maintain digital and physical filing systems, and manage general office data/emails.
- Assist with light HR administration tasks, ensuring employee and company data is kept completely secure and contained.
- Serve as the welcoming face of the office, professionally handling any in-person questions and visitors.
Qualifications & Skills
- Experience: 4 to 7 years of administrative experience. Experience in a medical office, clinic, or healthcare setting is highly preferred.
- Confidentiality: Exceptional discretion. You must understand how to keep sensitive information strictly contained.
- Skills:
- Strong organizational skills with an eye for detail (especially when pulling files and cross-referencing records).
- Proficiency with digital scanning, PDF creation, and handling digital fax/document routing systems.
- Basic bookkeeping or invoicing experience.
- Familiarity with Worker’s Compensation processes is a major plus.
- Attributes: Independent, proactive, adaptable, and comfortable wearing multiple hats in a professional environment.
