Description: Full-time bilingual (able to read, write and speak English and Spanish) receptionist position for an extremely busy criminal defense law firm. Candidate must be extremely detail oriented, work through projects quickly and efficiently, able to work well under pressure and possess excellent communication and organizational skills. This position requires the highest level of confidentiality and discretion. Strong grammar, punctuation and spelling skills are essential. The ability and willingness to effectively and professionally communicate with strong personalities is required. This position requires punctuality, consistency, dependability and the ability to absorb and follow instructions accurately. Applicant must be able to work efficiently and productively with multiple interruptions. Applicant must have a valid driver's license, satisfactory driving record and personal record. Professional appearance and demeanor are required for this position.
Primary Job Duties: This position supports a small office and will be required to perform tasks to support attorney and paralegal needs that may fall outside of the following regular duties. Applicants must understand that this position is primarily a support position and they must be willing and able to perform tasks that are necessary to keep the office running smoothly including, for example, preparing meals and running errands.
- Greet clients and visitors;
- Confidentiality and discretion;
- Answer, operate and speak on multi-line telephone system;
- Take accurate and complete messages from callers;
- Schedule client appointments with attorney and experts;
- Accurately and consistently calendar court appearances and deadlines;
- Independently write/type letters to clients informing them of court dates and other information related to their case;
- Retrieve mail daily from local post office;
- Maintain and order office, food and supplies;
- Process mail according to office instructions;
- Strict compliance with instructions regarding payment processing;
- Data entry, word processing, opening and maintaining case files, basic correspondence;
- Scan, copy, print, operate video and internet systems;
- Accurate transcription;
- Type 50 wpm;
- Respond professionally, patiently and calmly to challenging personalities;
- Manage email;
- Maintain highly organized and immaculate files, documents and records;
- Maintain tidy office and front desk;
Ideal applicant will have: prior office and clerical experience; experience using programs, software and systems are desired: Microsoft programs and billing/invoice software.
