Health & Related Services - SBHC Technician
Position Description:
The Health & Related Services SBHC Technician manages the day-to-day clerical, logistical, and administrative operations supporting 12 School-Based Health Centers. This role serves as the central operational hub for the department, ensuring seamless communication, regulatory compliance, and resource distribution across all sites. The technician works under the direct supervision of the SBHC Director and Executive Director to maintain data integrity, streamline clinic workflows, and support the programmatic goals of the network.

Scope of Responsibility:
- Serve as the primary liaison and central point of contact for administrative needs across all SBHC sites.
- Manage procurement, inventory, and distribution of office supplies, clinical forms, educational materials, and non-medical equipment for all locations.
- Maintain accurate, centralized schedules, contact rosters, and coverage calendars for staff across all clinics.
- Provide comprehensive administrative support to the Director and Executive Director, including managing calendars, preparing agendas, and taking detailed minutes for network-wide meetings.
- Draft, format, and distribute internal policies, memos, and external correspondences to clinic staff, school administrators, and families.
- Organize and maintain secure physical and digital filing systems for administrative records, MOUs (Memorandums of Understanding), contracts, and grants.
- Assist leadership in gathering, compiling, and tracking monthly and quarterly productivity metrics (e.g., student enrollment numbers, encounter data) from all clinics.
- Ensure all SBHC sites are stocked with up-to-date, compliant parental consent forms and enrollment packets.
- Maintain confidentiality in compliance with HIPAA and FERPA regulations when handling any student, family, or operational data.
- Support audit preparation by organizing necessary documentation, training logs, and clinic certifications.
- Process invoices, SBHC reimbursements, and track them against the department budget.
- Assist in onboarding new administrative or clinical staff by coordinating building access, IT setups, and distributing orientation materials.
- Train new SBHC secretaries
- Monitor timekeeping, daily attendance, absentee reports for SBHC staff
- Maintain updated professional licenses, certificates, ECUs for Medical professionals.
- Manage provider enrollment (Medicaid) and credentialing for new providers
- Maintain the provider profile for CAQH-Counsel for Affordable Quality HealthCare
- Acquire and maintain EMR (Electronic Medical Reports) super-user rights
- Performs other duties as assigned by the Executive Director of Health & Related Services and Director of SBHC
Skills and Qualifications:

Desirable Qualifications:
- Bilingual
- Experience with billing and insurance
Physical Involvement:
Sitting is a required part of each work day. Must be able to operate office equipment. Standing, walking, reaching, bending, lifting up to 10 pounds is sometimes required. Ability to provide own transportation to schools, work locations and meeting sites. Mobility skills necessary to access a variety of work locations.
