JOB SUMMARY
Administrative Assistant
Provides comprehensive administrative and clerical support for the County Services department. Serves as the first point of contact for the public within the Animal Control Division, providing customer service, intake, and administrative support for all animal-related transactions. Handles calls, service requests, adoptions, licensing, and financial transactions, ensuring compliance with local animal ordinances and maintaining accurate records of shelter operations.
ESSENTIAL JOB FUNCTIONS
- Public Service and Animal Intake Support: Process returns to owners, stray intake, adoptions, bite cases, and owner surrenders; ensure proper documentation and case assignment.
- Telephone and Service Request Management: Answer and dispatch calls; create and update service requests; maintain accurate communication with Animal Control Officers and shelter staff.
- Public Communication and Correspondence: Respond to public inquiries via phone, email, and in person; provide information about animal control procedures, ordinances, and licensing.
- Licensing Administration: Issue and renew county pet licenses; maintain records and track compliance.
- Legal and Records Processing: Assist with Sunshine Law and records requests; scan, copy, and distribute documentation as required.
- Cash and Donation Management: Handle payments, adoptions, and donations; maintain daily reconciliation and end-of-day balancing.
- Administrative Support: Order and track office supplies, maintain filing systems, and assist management with administrative tasks.
- Records Management: Maintains and files monthly administrative records.
- Facilities and Cleanliness Oversight: Support organization of front counter and shared spaces; maintain a clean, customer-ready environment.
- Team Support: Provide cross-support to animal control officers, management, and shelter staff as needed.
- Continuous Improvement: Recommend process improvements to enhance public service efficiency and accuracy.
