JOB FUNCTION:
As part of the Operations team at 1900 Wealth, the Client Services Specialist supports onboarding, ongoing account administration, and complex client service operations across traditional brokerage, custodial, and alternative investment platforms. This role partners closely with Investment Advisors, Operations leadership, and clients to deliver a seamless service experience, including specialized support for alternative investments and family office services. Responsibilities include money movement, account reconciliation, reporting, and operational support for multi-entity and multi-generational client structures.
DUTIES & RESPONSIBILITIES:
- Account Administration
- Manage onboarding, maintenance, and closing of client accounts.
- Review account applications, subscription documents, and operational checklists for accuracy and completeness.
- Update and maintain account details based on client needs, entity structure, and investment activity.
- Facilitate ACH, wire transfers, capital calls, and distributions; set up and monitor recurring distributions.
- Monitor cash balances to support fees, investment activity, distributions and liquidity needs.
- Alternative Investment Operations Support
- Provide operational support for alternative investments, including private equity, private credit, hedge funds, real assets, and other non-traditional structures.
- Assist with subscription processing, capital calls, distributions, and tracking of alternative investment activity.
- Coordinate documentation, reporting, and data entry related to alternative holdings across custodians and internal systems.
- Support ongoing reconciliation and reporting for alternative investments within portfolio accounting and reporting platforms.
- Serve as a liaison between Advisors, clients, custodians, fund sponsors, and third-party administrators related to alternative investments.
- Client Service
- Deliver firm services in partnership with Investment Advisors, ensuring high-touch client experience.
- Prioritize, process, and follow through on client requests efficiently and professionally.
- Communicate clearly with clients regarding operational timelines, requirements, and next steps.
- Maintain quarterly reporting and documentation for client portals.
- Back Office Systems
- Serve as CRM champion, ensuring data integrity, timely updates, and accurate recordkeeping.
- Provide basic technical guidance to clients and Advisors on custodial platforms, reporting portals, and online tools.
- Extract, reconcile, and prepare data for internal and client reporting in collaboration with the Operations team.
- Support dashboard creation and maintenance for Advisors and leadership.
- Participate in other projects as assigned.
MINIMUM QUALIFICATIONS:
Experience
- At least one year of experience in investment operations, client service, or wealth management support.
- Experience supporting alternative investments or complex client structures strongly preferred.
- Proven ability to deliver high-level client service with professionalism.
Education & Skills
- Bachelor’s degree in Finance, Accounting, or a related field.
- Experience with Orion, Redtail, or Arch, or similar platforms considered a plus
- Experience using CRM systems, portfolio reporting tools, and data management platforms.
- Familiarity with custodial platforms and alternative investment workflows preferred.
Technical Proficiency
- Strong computer literacy in Microsoft Outlook, Excel, Word, and PowerPoint.
- Comfortable working with multiple systems, portals, and reporting tools simultaneously.
