Job Summary

We are seeking a highly organized and dependable Office Coordinator (Temporary) to provide coverage during a maternity leave. This role is critical to maintaining the day-to-day operations of the office and ensuring a seamless experience for clients, attorneys, and team members.


The ideal candidate is a proactive professional with strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This individual will play a key role in supporting administrative functions while contributing to a compassionate and client-centered workplace.


This is a temporary position, expected to last approximately 6 months, with potential for extension based on business needs.


This position collaborates closely with Office Coordinators across all firm locations (CA, MN, and NY) to ensure consistent service standards, seamless office operations, and aligned processes nationwide. The ideal candidate is organized, detail-oriented, responsive, and comfortable working in a fast-paced environment that requires strong communication skills and a trauma-informed approach.


***This position is full-time, in office, Monday–Friday, 8:30 AM–5:30 PM.


Essential Functions

 

Administrative & Office Support

  • Provide day-to-day administrative support, including filing, scanning, photocopying, and basic document preparation
  • Assist attorneys and staff with routine clerical tasks to support efficient office operations


Client & Witness Communication

  • Communicate with clients, witnesses, and survivors with professionalism, empathy, and discretion
  • Support a welcoming and respectful experience for all individuals interacting with the firm


Front Desk & Call Management

  • Answer, screen, and direct incoming calls using a multi-line phone system
  • Greet and assist visitors with professionalism and care


Mail & Records Management

  • Receive, sort, and distribute incoming mail; process outgoing mail
  • Enter and update client information in case management systems with accuracy


Confidentiality & Compliance

  • Handle sensitive and confidential information in accordance with firm policies and legal requirements


Coordination & Office Support

  • Assist with scheduling and coordination of meetings and travel arrangements as needed
  • Support vendor coordination by facilitating scheduled visits and escalating issues when appropriate


Office Maintenance & Supplies

  • Maintain a clean, organized, and welcoming environment in common areas such as the lobby and kitchen
  • Monitor inventory and assist with ordering and restocking office and kitchen supplies


General Support

  • Assist with additional office and administrative needs as assigned to support daily operations


Work Experience

  • 5 years of administrative, secretarial or similar office coordinator experience, preferably in a legal, professional services, or client centered environment
  • Trauma-informed communication training preferred, willingness to undergo training required
  • Proficient in English


Skills

  • Proficient with Microsoft Office Suite or related software (including Microsoft Word, Excel, Adobe Acrobat and Adobe Sign)
  • Advanced communication skills and the ability to demonstrate empathy and compassion to clients
  • Advanced attention to detail
  • Strong written and verbal communication skills
  • Advanced organizational and time management skills
  • Self-starter with the ability to work independently, effectively multitask, prioritize and remain organized in a fast-paced environment
  • Comfortable in a fast-paced work environment
  • Team-oriented and ability to easily build relationships with a positive mindset
  • Discretion and sound judgment when handling confidential matters and/or in communication with clients
  • Ability to manage logistics and coordinate events with minimal support


Physical Demands and Work Environment

The physical demands of this position are consistent with a professional office environment. The role requires prolonged periods of sitting, regular use of a computer and telephone, and the ability to move throughout the office, including between floors as needed. Occasional standing, walking, and participation in team meetings or firm events may be required.

While no heavy lifting or physically strenuous activity is expected, the role may occasionally involve lifting or moving files, binders, or small office boxes (typically up to 10–15 pounds). All Jeff Anderson & Associates office locations are fully wheelchair accessible, and reasonable accommodations can be made to perform the essential functions of the position.

 

EDUCATION

High School diploma or equivalent required

 

BENEFITS ELIGIBILITY

This is a temporary role and is not eligible for company-sponsored benefits. Employees in this role will receive any benefits required under California law, such as paid sick leave. If the role transitions to a regular full-time position, benefits eligibility would be determined at that time.

 

COMPENSATION

Hourly rate: $20-$30
