We are looking for an experienced Front Desk Coordinator to join our growing team! The ideal candidate will have prior experience working in an accounting firm and at least two years of prior receptionist experience.
The ideal candidate possesses critical thinking skills and the ability to work under pressure in a fast paced, high production environment. The candidate will work closely with the administrative team to achieve collective goals and will also be required to work independently.
Role Description The Front Desk Coordinator is a full-time, on-site role based in Houston, TX. This position is responsible for greeting clients and visitors, managing the reception area, and providing a professional first point of contact for the firm. Day-to-day responsibilities include answering and directing phone calls, handling inquiries, and scheduling client appointments for multiple team members. The role also involves managing incoming and outgoing mail, maintaining client records, and supporting administrative tasks such as document preparation, filing, data entry, and coordination of meeting rooms. The Front Desk Coordinator will collaborate with accounting and advisory staff to ensure smooth office operations and a positive client experience.
Qualifications
- Strong interpersonal skills, including professional client interaction and a service-oriented approach.
- Proficient phone etiquette and ability to manage multiple phone lines efficiently.
- Experience with appointment scheduling, calendar management, and coordinating client meetings.
- Receptionist duties experience, including greeting visitors, managing the front desk, and maintaining a tidy reception area.
- Administrative assistance skills, such as document handling, filing, data entry, and basic office software proficiency (e.g., Microsoft Office).
- High level of reliability, attention to detail, and organizational skills in a fast-paced professional environment.
- Ability to handle confidential information with discretion and follow firm policies and procedures.
- Previous experience in a professional services, accounting, or financial office environment is preferred.
- High school diploma or equivalent required; additional education or training in office administration is a plus.
