We are seeking a detail-oriented and enthusiastic Event Coordinator & Administrative Assistant to support both our fundraising and program events, as well as provide essential administrative support to ensure the smooth operation of our organization.

Key Responsibilities:
Event Coordination
- Plan, organize, and execute fundraising events, community outreach programs, volunteer appreciation events, and special initiatives.
- Coordinate all event logistics including venues, catering, permits, AV, décor, guest registration, and volunteer assignments.
- Collaborate with the Development, Adult Program, and Marketing teams on event promotions, sponsorship outreach, and donor engagement.
- Help manage event budgets, track expenses, and prepare post-event reports and donor acknowledgments.
- Serve as on-site point of contact during events to ensure smooth execution and a positive attendee experience.
Administrative Support
- Provide administrative assistance to leadership and staff, including scheduling, correspondence, and meeting coordination.
- Maintain organized digital and physical filing systems and ensure donor and contact records are up to date.
- Support donor management processes by updating databases, tracking contributions, and preparing acknowledgment letters.
- Assist with board and committee events.
- Handle general office management tasks such as ordering supplies, database management and event registration RSVPs.
Qualifications:
- Experience and enthusiasm for event coordination, development, or administrative support.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Proficiency in Microsoft Office and experience with donor databases (e.g., Abila) is a plus.
- Energetic, flexible, and team-oriented, with a passion for advancing the organization’s mission.
- Available to work evenings and weekends as needed, as dictated by event and program schedule.
Preferred Skills:
- Experience with fundraising and sponsorship outreach.
- Basic design or marketing skills (e.g., Canva, social media management).
- Comfort with volunteer coordination or community outreach.
Compensation & Benefits:
- Starting salary of $25-$27/hour, commensurate with experience
