Job Responsibilities:
- Adhere to the organization’s purchasing methods, policies, and procedures.
- Conduct business in accordance with the organization’s policies and best business purchasing standards.
- Learn about all products involved in transactions and ensure purchases are made on the most favorable terms.
- Familiarize with internal personnel and communicate necessary information to suppliers accurately.
- Identify the best sources to meet the organization’s objectives, negotiate favorable agreements, and prepare documentation to comply with laws protecting the organization’s interests.
- Check Purchase Orders (PO) for completeness and clarity; obtain missing information when required.
- Obtain and analyze bids in accordance with established procedures.
- Prepare accurate and complete purchase orders using company tools, programs, and guidelines.
- Apply rules and regulations (e.g., CRV, Prop 65, MSDS) accurately to ensure compliance.
- Follow company guidelines on “Risk and Liabilities” to minimize lawsuits, recalls, and protect consumers.
- Maintain accurate Vendor and Item information in the Item Setup.
- Submit all “New Item” information using New Item forms.
- Communicate returns, credits, and agreements with Vendors to Accounts Payable.
- Review acknowledgements for agreement with purchase orders and resolve discrepancies with suppliers.
- Follow up or expedite orders as necessary to meet schedules.
- Keep the Purchasing Manager informed of all activities or problems.
- Perform other duties as assigned by the supervisor.
