Overview
We are seeking an Office Manager as the primary point of contact for customers, visitors, and vendors.
Responsible for overseeing daily operations, ensuring that administrative functions run smoothly.
This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities.
Duties
- Customer Service & Scheduling: Answering phones, scheduling estimates and installations,
- Coordinating 811 locates.
- Financial & Bookkeeping: Processing accounts payable/receivable, invoicing, collecting payments, managing company credit cards, company deposit, and handling payroll support:
- Timecards, and quarterly payroll reports for worker’s comp.
- Sales & Material Support: Ordering job materials, processing walk-in sales, and assisting with estimates
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping and financial record-keeping
- Excellent computer literacy and data entry skills with high accuracy levels
- Strong multitasking ability with effective time management skills to prioritize tasks efficiently
- Bilingual abilities are a plus to serve diverse client needs effectively
- Knowledge of multi-line phone systems and phone etiquette standards
- Clerical experience including filing, proofreading, calendar management, and document handling
- Personal assistant experience is beneficial for supporting executive needs
