POSITION SUMMARY

The Operations Manager is a hands-on leadership role responsible for the day-to-day performance of the shop, mobile operations, parts procurement, and customer workflow. You are the connective tissue between the owner's vision and the team executing it on the floor.

You will directly lead the Shop Manager, Operations Coordinator, and Parts Coordinator. Your success is measured by the performance of your team, the efficiency of the operation, and the satisfaction of our customers — in that order.

PRIMARY RESPONSIBILITIES

Leadership & Team Development

  • Provide direct day-to-day leadership to the Shop Manager, Operations Coordinator, and Parts Coordinator
  • Set clear performance expectations, conduct regular check-ins, and hold team members accountable to their roles and results
  • Identify skill gaps and develop team members through coaching, training, and mentoring
  • Model the standard — if you wouldn't do it yourself, don't ask your team to do it
  • Maintain a work environment built on mutual respect, honesty, and high standards

Shop & Mobile Operations

  • Monitor daily shop throughput, technician productivity, and bay utilization — target is 100% shop utilization
  • Ensure service orders are opened at every vehicle drop-off and closed within 24 hours of job completion
  • Oversee mobile service truck scheduling and dispatch to minimize downtime and maximize billable hours
  • Identify workflow bottlenecks and implement process improvements in coordination with the Shop Manager
  • Support compliance with DOT, BIT, and safety regulations across all services performed

Customer & Fleet Relations

  • Serve as a primary point of escalation for customer concerns — resolve issues quickly and professionally
  • Support the Operations Coordinator in maintaining response times under 15 minutes for service request emails
  • Assist in managing fleet maintenance contracts and PM schedules for key accounts
  • Build relationships with fleet customers that create long-term loyalty, not just repeat invoices

Parts & Procurement

  • Work with the Parts Coordinator to ensure parts availability supports shop throughput without excess inventory accumulation
  • Approve parts orders within assigned spending authority
  • Identify vendor relationship opportunities that improve cost, availability, or reliability

Reporting & Systems

  • Operate proficiently in Fullbay (shop management system) — review work order status, technician hours, and job profitability
  • Provide the owner with weekly operational summaries covering throughput, open orders, and team performance issues
  • Flag problems early — no surprises, no managing up with spin

Run the operation so the owner can work on the business, not just in it.

That means trucks get fixed right, customers get treated right, and the team knows where they stand — every day.

WIN THE WEEK

  • Shop is at or trending toward 100% utilization
  • Every service order opened same day as vehicle drop-off, closed within 24 hours of completion
  • Technicians clocked in and out every day — no exceptions
  • No unresolved customer complaints sitting open more than 24 hours
  • Team leaders know their priorities for the week before Monday is over
  • Parts backorders identified and communicated to affected service orders proactively

QUALIFICATIONS

Required

  • 5 years of experience in heavy-duty truck, trailer, or fleet maintenance operations
  • 3 years in a supervisory or management role with direct reports
  • Working knowledge of DOT and BIT inspection requirements
  • Demonstrated ability to manage workflow, people, and customer relationships simultaneously
  • Proficiency with shop management or fleet maintenance software (Fullbay experience a plus)
  • Valid driver's license with a clean record
  • Strong written and verbal communication — you can write a clear email and have a hard conversation without flinching

Strongly Preferred

  • Experience in a service-based small business environment (under 50 employees)
  • Familiarity with liftgate systems, trailer warranty programs, or authorized dealer operations
  • Background in mobile service operations or field dispatch coordination
  • Bilingual (English/Spanish) a significant plus given our service area

COMPENSATION & BENEFITS

Compensation for this role is competitive and will be discussed directly based on experience and qualifications. We do not lowball good people and we do not apologize for expecting a lot in return.

Pay: $75,000.00 - $90,000.00 per year
