About the Role
We are seeking a reliable and detail-oriented Payroll & Accounting Specialist to support our construction accounting team. Reporting to the Controller, this key accounting team member will primarily focus on processing accurate, multi-state payroll on a weekly basis. Key responsibilities include summarizing hours worked, managing union compliance, construction industry reporting and maintaining payroll records. This position also assists with various accounting, human resources and administrative activities. Working closely with HR and project teams, the ideal candidate is self-directed, an excellent communicator and possesses strong attention to detail.
Responsibilities
- Process weekly payroll for union and non-union construction employees using DM Payroll
- Produce payroll reporting and reconciliations
- Process payroll adjustments and issue manual checks as necessary
- Assist with and/or handle employee onboarding
- Process new hires, terminations, and changes
- Maintain employee payroll records in payroll software and company network
- Interpret and apply union collective bargaining agreements (CBAs), including wage rates, fringes, and deductions.
- Prepare monthly union fringe reports and process payments
- Comply with Davis Bacon Act (prevailing wage requirements) and prepare related weekly certified payroll reports
- Ensure compliance with applicable labor laws, tax regulations, and union requirements
- Assist with workers compensation insurance preparations
- Assist with year-end processes, including W-2 preparation and audits
- Create and import accounting journal entries
- Prepare bank reconciliations
- Generate weekly Job Cost reporting
- Cross train to support various accounting functions
- Others as needed
Qualifications
- Minimum of 2–3 years of payroll processing experience, including a strong understanding of payroll taxes, deductions, and compliance requirements
- Bachelor’s degree in accounting, finance or related field, or a minimum of 8 years of relevant experience
- Experienced with Microsoft Suite, including Excel, Word and Outlook
- High level of accuracy and attention to detail, communication and problem-solving skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Team player with a positive attitude and strong organizational skills
- Ability to maintain strict confidentiality
Preferred Qualifications
- Union payroll experience and knowledge of collective bargaining agreements
- Construction industry experience, including certified payroll and prevailing wage
- FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional)
- Sage 300 CRE software experience
- DM Payroll software experience
