Duties
- Answer and route multi-line phone systems efficiently, demonstrating excellent phone etiquette
- Perform data entry tasks using Microsoft Office Suite, Google Workspace, and QuickBooks On Line (Must be an Expert) for accurate record keeping
- Organize and maintain filing systems—both physical and digital—to ensure quick retrieval of documents
- Support calendar management and scheduling for executives or team members with precision
- Handle clerical tasks such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
- Provide exceptional customer service by assisting clients, vendors, and visitors promptly and courteously
- bookkeeping duties, including invoicing, expense tracking, and financial record updates, Payroll, quarterly taxes, reconciling bank statements.
- Support office management activities by ordering supplies, maintaining equipment, and coordinating maintenance requests
- Maintain a professional environment by practicing proper phone etiquette and managing multi-line phone systems effectively
Qualifications
- Proven experience in an office environment or administrative role with strong clerical skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and be an expert with QuickBooks on line.
- Excellent organizational skills with the ability to prioritize tasks efficiently
- Strong typing skills with high accuracy; attention to detail is essential for proofreading and data entry tasks
- Exceptional customer service abilities combined with professional phone etiquette
- Experience in office management.
- Ability to handle multiple responsibilities simultaneously while maintaining a positive attitude
