The Jason Dalbey Real Estate Team is seeking a highly organized, proactive Licensed Real Estate Assistant to support a top-producing, award-winning agent with over seven years of experience in the Pittsburgh market. The ideal candidate is committed to helping our clients feel supported and informed throughout their buying, selling, or investing journey.Key ResponsibilitiesTransaction ManagementPrepare, review, and manage agreements of sale, listing contracts, disclosures, addendums, and other required documents.Track transaction timelines to ensure deadlines, contingencies, and compliance requirements are met.Coordinate directly with lenders, title/closing companies, home inspectors, and cooperating agents.Maintain clean, organized transaction files that meet brokerage and state requirements.Client Support & Relationship BuildingServe as a warm, professional point of contact for buyers, sellers, and vendors.Communicate proactively with clients, providing updates and guidance throughout each stage of their transaction.Assist with client appreciation programs, follow-up systems, and ongoing relationship-nurturing activities.Support Jason’s commitment to high-touch service and long-term client care.Listing Preparation & MarketingCoordinate listing prep including photography, staging, contractors, cleaners, and vendors.Create and manage accurate MLS entries and ensure all listing information is well-presented.Prepare CMAs, listing presentations, brochures, postcards, and property marketing materials.Assist with social media content creation, email newsletters, and marketing campaigns.Database & Systems ManagementMaintain and organize the team's 8,000-contact database with attention to detail.Help execute follow-up plans for the 3,000 homeowners interested in home valuations.Support communication workflows such as drip campaigns, market updates, and lead-nurture sequences.Ensure CRM data is current, accurate, and utilized effectively to stay in front of clients without being overwhelming.Operational & Administrative SupportManage scheduling, calendars, showing coordination, and daily task lists.Handle signage, lockboxes, errands, and property-related logistics as needed.Prepare reports, listing packets, and materials for meetings and client appointments.Assist with building team systems, streamlining processes, and supporting business growth.QualificationsActive Pennsylvania real estate license required.Experience in real estate, transaction coordination, or team support preferred.Strong knowledge of real estate contracts, MLS, and transaction workflows.Excellent verbal and written communication skills.Tech-savvy — CRM usage, digital marketing, Google Workspace, MLS systems, Canva, and social platforms.A positive attitude, strong work ethic, and passion for serving clients.Highly organized, detail-oriented, and able to handle multiple tasks simultaneously.CompensationCompetitive hourly wage or salary depending on experience.Potential for bonuses based on transactions and team performance.Opportunities to grow alongside a rapidly expanding real estate team.Why Join the Jason Dalbey Real Estate Team?You’ll be part of a high-integrity, client-first team known for clear communication, strong negotiation, and world-class service.
