Legal Secretary / Receptionist
Our office is seeking a dependable and professional Legal Secretary/Receptionist to serve as the first point of contact for our small law firm. This position involves much more than answering phones and includes a variety of front desk, administrative, and limited legal support duties. Reliability, punctuality, and a willingness to assist with day-to-day office operations are essential.
The successful candidate will be responsible for opening and closing the office, greeting clients and visitors, answering and directing phone calls, scheduling appointments, assisting with legal documents, and supporting attorneys and staff with general office tasks. This position is vital to maintaining an organized, efficient, and professional environment. Because this position is responsible for opening the office and serving as the primary front-desk contact, consistent attendance and punctuality are critical requirements of the job.
Responsibilities:
- Open and close the office each day
- Greet and welcome clients and visitors in a professional and friendly manner
- Answer and direct incoming phone calls
- Schedule appointments and maintain calendars for multiple staff members
- Manage incoming and outgoing mail and packages
- Scan, file, copy, and organize documents
- Assist with data entry and other clerical tasks
- Perform limited legal drafting and other legal office support work as directed
- Maintain organized physical and electronic files
- Keep the reception area clean, organized, and welcoming
- Provide general administrative support to attorneys and office staff
- Arrive on time and maintain dependable attendance
Qualifications:
- Previous receptionist, administrative, or law office experience is preferred but not required
- Strong verbal and written communication skills
- Proficiency with Microsoft Office (Word, Excel, and Outlook)
- Ability to multitask, prioritize responsibilities, and work independently
- Excellent attention to detail and organizational skills
- Professional demeanor and strong customer service skills
Preferred Skills:
- Familiarity with legal case management and tracking deadlines
- Basic knowledge of legal procedures and terminology
- Experience reviewing and organizing legal documents
- Experience with electronic document management systems
