OVERALL RESPONSIBILITIES
Reporting to the Controller, the Payroll Manager leads the payroll team and is accountable for the end-to-end management, compliance and administration of all company payroll operations in the United States. This includes overseeing the timely and accurate processing of weekly and bi-weekly payroll cycles, oversight of global mobility payroll and tax requirements, validation of preliminary and final payroll reports, and review of time sheets, supporting schedules, and funding requirements.
The role is responsible for full compliance with applicable federal and state legislation, internal policies, and established internal controls, including participation in any required audits.
The Payroll Manager also oversees the processing of approved employee expense reimbursements and contributes to key accounting activities such as journal entry preparation, account reconciliations, and related financial reporting tasks. Specific Key Responsibilities & Duties
Payroll Operations
- Leads and coordinates end‑to‑end payroll activities to ensure accurate and timely processing of all weekly and bi‑weekly payroll cycles, in accordance with company policies and regulatory requirements
- Oversees the preparation of payroll documentation—including overpayment calculations, retirement savings plan deductions, payroll registers, stop payments, and workers’ compensation submissions—ensuring accuracy and audit readiness
- Manages the payroll processing of salary adjustments, bonuses, commissions, and other compensation changes while ensuring proper authorization is in place
- Develops, reviews, and delivers ad hoc, monthly, quarterly, and annual payroll reports for Finance, HR, and senior management
- Monitors and analyzes payroll data from multiple sources (time and attendance, salary adjustments, tax deposits, etc.) to identify trends, ensure compliance, and support decision-making
- Collaborates and communicates with internal and external stakeholders—including HR, Finance, third-party vendors, and government agencies—to resolve issues related to payroll calculations, deductions, and garnishments etc.
- Responds to inquiries from employees, managers, and external partners, providing accurate information, guidance, and issue resolution
- Partners with HR and functional leaders to ensure time and attendance data is complete, accurate, and integrated into the payroll cycle
- Ensures alignment of payroll data with personnel records, collaborating with HR and other departments to maintain timely and accurate employee information
Financial Reporting and Controls
- Support headcount cost planning in quarterly reforecasts and the annual budgeting process, recommending opportunities for improvement
- Reviews and approves payroll-related journal entries, records of employment, tax forms, remittances, and other statutory filings to ensure compliance and accuracy
- Ensures compliance with federal and state legislation, company financial controls, audit requirements, and internal governance processes, taking corrective action where necessary
- Reviews and reconciles payroll‑related general ledger accounts, investigates discrepancies, and ensures timely resolution of variances in accordance with internal control requirements
- Maintains oversight of payroll records, documentation, and electronic files to ensure accuracy, data integrity, and compliance with audit, retention, and privacy standards
- Promotes and adheres to company Health & Safety policies and procedures, fostering a safe and compliant work environment
- Oversee preparation and completion of annual insurance package
General Accounting
- Assist in month-end, quarter end and year end close cycles, recording and reconciling assigned journal entries and completion of assigned balance sheet reconciliations
- Work with accounts payable team to prepare and process weekly payment runs
- Work with accounts receivable team to prepare and process cash receipts
- Prepare bank reconciliations and other assigned balance sheet reconciliations
- Prepare monthly, quarterly, and annual sales tax filings
- Assist in annual audit, including preparation of assigned areas
- Assist in quarterly tax provision and year end tax return
System and Process Improvements
- Leads and supports enhancements to automated payroll and fiscal systems by identifying process gaps, recommending improvements, and partnering with HRIS/IT to strengthen reporting and data integrity
- Work with Finance, HR and IT to streamline workflows and enhance reporting
- Drive automation initiative and improve data integrity

Knowledge, Skills & Abilities Requirements
- University or College business degree in Accounting, Business, or Finance
- Minimum of three (3) years experience as a payroll manager with a minimum of 5 years prior payroll knowledge
- Strong knowledge of payroll systems, internal controls, and management
- Advanced proficiency with accounting software (SAP) and payroll programs (ADP) and applications
- Global mobility or expatriate payroll experience is an asset
- HRIS/payroll implementation experience is considered an asset
- Experience in managing the processing of salaries, bonuses, commissions, and other forms of compensation
- Knowledge of audits, income tax forms, health benefits programs, sick pay, and retirement plans
- Good knowledge of accounting, general ledger, journal entries, and bookkeeping experience
- Ability to prepare ad hoc reports using Microsoft Excel
- Demonstrates a strong work ethic, positive team attitude, and a customer focused mindset
