Jamestown Salish Seasons (JSS) is seeking a Treatment Coordinator to provide administrative, referral, admissions, and operational coordination support for our voluntary 16-bed inpatient behavioral health facility.

This position serves as a primary administrative and operational point of contact for patients, referral partners, visitors, and interdisciplinary staff. The Treatment Coordinator supports daily facility operations, admissions coordination, utilization management processes, patient documentation workflows, and communication activities in a trauma-informed and culturally respectful environment.

The ideal candidate is organized, professional, compassionate, and able to effectively manage multiple priorities in a fast-paced behavioral health setting.

Schedule

Thursday through Sunday | 4x10 shifts

JSS operates 24 hours per day, 7 days per week, and this position may require flexibility to support operational coverage needs.

Essential Functions

Administrative & Front Desk Operations

  • Provide front desk reception and facility access coordination.

  • Greet patients, visitors, referral partners, vendors, and staff in a professional and culturally respectful manner.

  • Screen visitors and maintain facility sign-in and sign-out procedures in accordance with organizational and facility protocols.

  • Answer, route, and manage incoming telephone calls, electronic communications, and faxes appropriately.

  • Maintain organized communication and coordination across shifts, departments, referral partners, and operational staff to support continuity of facility operations.

  • Support organized administrative and operational workflows while maintaining a secure and welcoming environment.

  • Perform general office coordination duties, including supply organization, document processing, and administrative support activities.

Referral & Care Coordination

  • Receive and process referrals for admission to JSS from community partners, healthcare organizations, patients, and other referral sources.

  • Coordinate admissions-related communication, documentation, and operational workflows to support timely patient intake and transitions of care.

  • Facilitate communication between referral sources and the JSS interdisciplinary treatment team regarding referral status, required documentation, admissions coordination, and follow-up activities.

  • Obtain, organize, and maintain referral and admissions documentation in accordance with organizational standards and regulatory requirements.

  • Support admissions coordination activities to promote timely patient access and continuity of services.

  • Coordinate administrative and logistical components of patient discharge and transition planning in collaboration with the interdisciplinary treatment team, including scheduling follow-up appointments, assisting with transportation coordination, and supporting continuity-of-care documentation workflows.

  • Serve as an operational liaison between JSS and external community resources, Tribal health programs, housing resources, outpatient behavioral health providers, and referral partners to support continuity of care and successful patient transitions.

Patient Information & Documentation Support

  • Receive, process, and maintain confidential patient, referral, insurance, and health information in accordance with HIPAA, organizational policies, and applicable regulations.

  • Upload, organize, and maintain documentation within the electronic health record (EHR) system accurately and in a timely manner.

  • Maintain organized patient records, forms, authorizations, and operational documentation.

Insurance Verification & Utilization Management Support

  • Verify patient insurance, funding source, and payor information.

  • Support utilization management (UM) processes and related documentation requirements in accordance with organizational procedures and payor expectations.

  • Obtain and track authorizations, documentation requests, and related coordination activities.

  • Maintain accurate documentation related to patient coverage and authorization workflows.

Interdisciplinary Team & Operational Support

  • Provide administrative and coordination support to the interdisciplinary treatment team.

  • Support communication and coordination activities related to discharge planning and continuity-of-care services.

  • Collaborate with clinical, medical, operational, and support staff to promote organized and efficient daily operations.

  • Maintain professional working relationships with patients, families, referral partners, and community agencies.

  • Perform other duties as assigned.

Requirements

Education

  • High school diploma or equivalent required.

Experience

  • Two (2) years of experience in customer service, healthcare coordination, behavioral health, admissions, administrative support, or a related setting.

Knowledge, Skills, and Abilities

  • Knowledge of HIPAA, patient confidentiality requirements, and professional boundaries.

  • Strong interpersonal, written, and verbal communication skills.

  • Ability to maintain professionalism and composure in a behavioral health treatment environment.

  • Ability to organize and prioritize multiple tasks, workflows, and competing demands.

  • Ability to maintain accurate documentation and records.

  • Ability to work collaboratively within an interdisciplinary team environment.

  • Ability to interact respectfully with individuals from diverse backgrounds and experiences.

  • Ability to support culturally respectful, trauma-informed, and recovery-oriented care practices in alignment with organizational values.

  • Basic computer proficiency including Microsoft Office applications, email systems, and electronic health records.

  • Strong organizational and customer service skills.

  • Ability to maintain confidentiality and exercise sound judgment.

  • Valid driver’s license and ability to travel locally or regionally as needed.

  • Ability to successfully pass a criminal background investigation.

Preferred Qualifications

  • Experience working in behavioral health, psychiatric, residential treatment, inpatient, healthcare, or comparable care setting.

  • Experience with referrals, admissions coordination, insurance verification, scheduling, or utilization management support functions.

  • Familiarity with electronic health records (EHR) systems and healthcare documentation workflows.

  • Familiarity with American Indian and Alaska Native health services.

  • Experience working in a tribal healthcare or behavioral health setting.

  • American Indian/Alaska Native preference applies.

Physical Requirements & Working Conditions

  • Work is performed in a secure 24/7 inpatient behavioral health treatment environment which may involve frequent interruptions, crisis-sensitive communications, and rapidly changing operational priorities.

  • Frequent interaction with patients, visitors, staff, and community partners.

  • May require scheduling flexibility to support operational coverage needs, including evenings and weekends.

  • Must be able to lift, push, and carry up to 25 lbs. unassisted.

  • Physical ability to access all areas of the facility as required to perform assigned duties.

  • Must be able to withstand prolonged standing, sitting, walking, bending, climbing, squatting, and twisting without restriction.

  • Requires eye/hand coordination and manual dexterity; ability to distinguish letters, numbers, and symbols.

  • Must be able to work in a fast-paced environment requiring adaptability and professionalism.
