What are the responsibilities and job description for the Administrative Assistant position at James Street Mennonite Church?
We are seeking an energetic and highly organized Administrative Assistant to join our church office staff. This vital role provides administrative support to the ministries of the pastors plus maintains the financial records of James Street Mennonite Church. The ideal candidate will possess excellent organizational skills, strong computer literacy, and a proactive attitude to handle diverse administrative tasks efficiently.
- Greet visitors and direct them appropriately with professionalism and warmth
- Help prepare for the Sunday morning worship service, and for church events, with the support of the pastors.
- Pay bills, process deposits, track income and prepare receipts, balance accounts and generate financial reports, maintain corporate accounts and prepare sales tax exempt forms.
- Develop and manage the annual budget, with the support of the pastors and the board.
- Manage the human resources needs of the congregation, in cooperation with the Lead Pastor.
- Oversee record keeping regarding database and filing systems, ensuring all records are organized and accessible
- Support calendar management and scheduling for church events, facility rentals and facility maintenance.
- Provide exceptional communication skills through timely responses to inquiries via phone or email
- Coordinate regular digital communication with the congregation

- Committed to team building, with demonstrated competence and confidence in leadership, communication and organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and basic computer skills
- Experience with record keeping, filing, proofreading, and calendar management
- Knowledge of QuickBooks or bookkeeping experience for handling financial records accurately. Familiarity with fund accounting would be a plus.
- Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively

Pay: $20.00 - $23.00 per hour
