What You’ll Do
- Receive, organize, file, and retrieve construction and project-related documentation, including contracts, forms, correspondence, and project records
- Maintain accurate and up-to-date project files by processing documentation and updating logs, reports, and administrative records
- Review project documentation for accuracy, completeness, and consistency, identifying discrepancies and assisting with corrections as needed
- Establish and maintain organized electronic and physical filing systems for construction and project documentation
- Compile routine reports and summaries to support project tracking and recordkeeping
- Prepare and format correspondence, reports, and project-related documents
- Provide general administrative and clerical support to project managers and construction leadership
- Assist with scheduling calendars, meetings, training sessions, and travel arrangements when needed
- Support project-related financial and account records, including basic accounts payable, accounts receivable, and cost tracking, as assigned
- Assist other departments by providing project documentation, information, and procedural support
- Perform additional administrative duties as needed to support construction and project operations
- Three (3) to five (5) years of administrative or clerical experience preferred
- Prior experience in a construction, mechanical, or contracting office environment strongly preferred
- High school diploma or equivalent required
- Strong organizational skills with the ability to manage multiple documents and priorities at once
- Excellent attention to detail and accuracy
- Clear and professional written and verbal communication skills
- Ability to identify errors or inconsistencies and assist with resolving administrative issues
- Proficiency or willingness to learn standard office software and document management systems
- Professional composure and reliability when working under deadlines
- Team-oriented mindset with a willingness to support project managers and leadership
