We are looking for an Office Manager/HR Coordinator to join our team in Loveland, CO. JFT offers some work from home flexibility, but in-office days are also required. We have implemented a 9/80 work schedule and the office is closed every other Friday. The anticipated closing date for this position is 12/31/25 and applications will be reviewed on a rolling basis.
Function: The Office Manager/HR Coordinator manages JFT's administrative functions across three offices and assists with HR functions such as job postings, interview coordination, and onboarding.
Duties & Responsibilities
Office Management:
Typical Working Conditions: Primarily an office environment with periodic exposure to the fabrication/machine shops.
Access to Restricted Information: This role requires routine access to restricted information, including but not limited to Export Controlled Information (ECI), Unclassified Controlled Nuclear Information (UCNI), Controlled Unclassified Information (CUI), Department of Energy Official Use Only (DOE OUO); and/or ITAR-controlled technical data. As required by applicable federal laws and regulations, candidates must be U.S. citizens or lawful permanent residents and all offers of employment will be contingent on satisfying applicable licensing, training, and other requirements. Duties & Responsibilities
Office Management:
- Monitor front desk area and initiate visitor sign in process.
- Process and distribute mail and packages that come to the front desk.
- Meal ordering for All Hands Meeting, client visits, and other events.
- All Hands Meeting and event coordination and setup.
- Supply ordering, stocking and management for all buildings.
- Coordinate facilities repair and maintenance.
- Occasional shipping of items for situations such as trade shows and IT equipment needs.
- Monitor company inboxes such as Out of Office and Contacts.
- Other administrative duties as assigned.
- Keep compliance postings up to date in all offices.
- Promote employee morale by planning events, ordering business cards and name plates, and sending life event gifts.
- Assist hiring managers with recruiting, pre-screening candidates and scheduling interviews.
- ATS: update candidate status and send notifications, manage job postings, templates, and qualification questions.
- LMS: maintain course content, send out assignments and monitor completion.
- Maintain org chart, seating charts, and HR calendar.
- Maintain annual bonus plan spreadsheet and distribute.
- Manage onboarding items such as software license setup, instructional emails, badges, IT equipment ordering and workspace setup.
- Other HR duties as assigned.
- Minimum five years of related experience with experience in construction/manufacturing, engineering, or government contracting industries preferred.
- Knowledge of HR best practices.
- Experience with Deltek Costpoint or similar ERP software is a plus.
- Experience with iSolved Applicant Tracking and Learning Management, or similar platforms.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Windows operating systems.
- Ability to work with confidential information with discretion.
