Role Description
The Financial Operations & Bookkeeping Specialist is a full-time, on-site or remote role based in Kalispell, MT. This position is responsible for maintaining accurate financial records, supporting day-to-day accounting operations, and providing financial information that helps leadership make informed business decisions.
The successful candidate will oversee bookkeeping functions, account reconciliations, accounts payable and receivable, inventory-related accounting activities, and financial reporting. This role will work closely with company leadership to ensure financial accuracy, improve internal processes, and support the continued growth of the business.
Key Responsibilities- Maintain accurate financial records by recording daily transactions, posting journal entries, and reconciling bank, credit card, and loan accounts.
- Manage accounts payable and accounts receivable processes, including vendor payments, customer invoicing, collections, and account maintenance.
- Assist with month-end and year-end closing procedures, ensuring financial information is complete and accurate.
- Prepare internal financial reports, cash flow summaries, and budget tracking reports for company leadership.
- Monitor inventory-related accounting activities, including inventory valuation, adjustments, cost tracking, and reconciliation of inventory records.
- Support payroll processing and coordinate with external payroll providers as needed.
- Review and improve financial procedures, documentation, and internal controls to increase efficiency and accuracy.
- Assist with audit preparation, tax documentation requests, and coordination with external accountants, tax professionals, and financial advisors.
- Analyze financial data and identify trends, discrepancies, or opportunities for operational improvement.
- Maintain confidentiality of all company financial information and records.
- Support special projects related to financial reporting, forecasting, process improvement, and business growth initiatives.
- Ensure compliance with company policies, accounting standards, and applicable financial regulations.
- Collaborate with leadership and operational teams to improve reporting accuracy and business performance.
- Strong bookkeeping experience, including daily transaction recording and account reconciliation.
- Proficiency in preparing and reviewing financial statements and supporting basic financial analysis.
- Hands-on experience with accounting software and accurate posting of journal entries.
- Knowledge of fundamental finance and accounting principles relevant to small business operations.
- Attention to detail, strong organizational skills, and the ability to manage multiple priorities.
- Solid numerical aptitude and comfort working with spreadsheets and financial reports.
- Effective communication skills and the ability to collaborate with operations and leadership teams.
- Prior experience in retail, wholesale, construction supply, manufacturing, or inventory-driven environments is beneficial.
- Associate’s or bachelor’s degree in Accounting, Finance, Business, or a related field preferred, or equivalent practical experience.
- Experience with ADP, Shopify, Amazon Seller Central, or similar business management platforms.
- Understanding of inventory accounting, cost of goods sold (COGS), and accrual-based accounting.
- Experience working with multi-channel sales environments, including e-commerce, wholesale, and direct-to-consumer operations.
- Familiarity with budgeting, forecasting, and cash flow management.
- Experience creating and maintaining standard operating procedures (SOPs) and financial process documentation.
- Ability to identify inefficiencies and recommend practical solutions to improve financial operations.
- Financial records are maintained accurately, consistently, and on time.
- Bank, credit card, and inventory reconciliations are completed regularly with minimal discrepancies.
- Leadership receives timely, accurate financial reports that support informed decision-making.
- Vendor payments and customer receivables are managed proactively and professionally.
