REPORTS TO: Foundation and Government Relations Director
DEPARTMENT:  Philanthropy
SALARY: $57,700-$71,250 per year

SCHEDULE: Occasional weekend work and extra hours, especially during the summer Festival
SUMMER ONLY: Three meals a day, free access to classes, performances, talks, and studio usage


POSITION SUMMARY:

This is an exciting time to join Jacob’s Pillow Dance Festival as the organization expands its reach and deepens its impact as a global leader in the dance field. The Institutional Support Manager plays a central role in advancing institutional fundraising efforts through prospecting and managing a portfolio of Foundation and Government funders that are critical to the organization’s annual contributed income. 

This role is ideal for a highly motivated, resourceful professional who thrives in a fast-paced environment and takes initiative to move work forward. The Institutional Support Manager will independently manage multiple projects and deadlines, proactively identify next steps, and leverage available tools and information to produce high-quality work.

Success in this role requires strong writing skills, discernment, and the ability to efficiently learn new systems, programs, and funding priorities. A genuine interest in the arts, and preferably familiarity with the dance field, is essential to effectively communicate the Pillow’s work and engage institutional funders.

This position can be hybrid or primarily remote for much of the year; however, regular travel to the Berkshires is expected during the summer Festival, and occasionally for key events throughout the year. Candidates based in the Northeast are strongly encouraged to apply.


DEPARTMENT RESPONSIBILITIES:

The Institutional Support Manager works closely with the Foundation and Government Relations Director to meet annual contributed income targets and grow the pipeline of institutional funders. The Manager plays an integral role within the Philanthropy team, working collectively to raise circa $9.25M in the year ahead, and is expected to take ownership of projects and contribute proactively to team strategies and goals.


POSITION RESPONSIBILITIES:

● Manage a portfolio of institutional funders and deadlines, ensuring timely and strategic submission of proposals and reports.
● Independently develop grant materials including letters of inquiry, proposals, budgets, and reports, synthesizing information from across the organization.
● Proactively track and advance projects, identifying next steps, anticipating needs, and following up with colleagues as needed to meet deadlines.
● Prepare briefings for meetings with representatives from Foundations and Government agencies, and support relationship management with elected officials.
● Compile guidelines and take initiative in gathering required materials (i.e. metrics, expenses, contracts, etc.) across departments; prepare documentation, complete forms in grantee portals; and submit final applications/reports online.
● Use the CRM (Tessitura) and other tools diligently to track activity, manage deadlines, and maintain accurate records.
● Maintain online accounts and logins for Foundation and Government supporters, ensuring that the Pillow is in compliance with requirements and annual updates (i.e. SAM registration, SMU DataArts, etc.)
● Conduct prospect research and identify new funding opportunities aligned with organizational priorities.
● Manage the grant acknowledgement process and routing of grant contracts for signature and required support materials .
● Support stewardship efforts including funder communications, visits, and recognition / benefit fulfillment.
● Update frequently used organizational documents (i.e. program one pagers, Board list, economic impact statement, etc.), collect metrics for in-person and virtual programming, and maintain records in Philanthropy Drive.
● Contribute to broader departmental efforts and step in to support priority projects as needed.
 

Qualifications:

REQUIRED QUALIFICATIONS &SKILLS:

● 3 years of experience working in the non-profit sector or a relevant role.
● Bachelors degree or equivalent preferred
● Demonstrated ability to work independently, manage competing priorities, and meet deadlines and detail-oriented, while part of a team.
● Strong initiative and problem-solving skills, with the ability to identify needs and take action.
● Proficiency with G-Suite and Microsoft Office.
● Excellent writing skills and editing skills with strong attention to detail.
● Experience working with a database /CRM (Tessitura experience a plus).
● Outstanding organizational and research skills.
● Ability to quickly learn new systems, tools, and programmatic content.
● Discretion and ability to maintain confidential information.

● Interest in the performing arts required, familiarity with or knowledge of the dance field strongly preferred.
● Willingness and ability to travel to the Berkshires regularly; candidates based in the Northeast preferred.
