What are the responsibilities and job description for the Real Estate Transaction Coordinator position at Jacobs & Co Real Estate, LLC?
Key Responsibilities
- Open escrow and upload contract and relevant documents into transaction management software
- Prepare, review, and submit all required paperwork (contracts, disclosures, amendments, addenda)
- Track and enforce contractual deadlines (contingencies, inspections, financing, etc.)
- Coordinate inspections, appraisals, title work, HOA documentation, repairs, and final walk-throughs
- Maintain consistent and timely communication with all parties (buyers, sellers, agents, lenders, title)
- Monitor file status, identify missing items, and proactively follow up
- Prepare closing packages and ensure that all documents are executed and funds transferred properly
- Audit files for completeness and compliance
- Update CRM and internal systems with transaction status and key dates
- Escalate issues and delays to agents or management as needed
- Provide status reports and updates to agents and clients
- Assist with post-close tasks (archiving, file cleanup, commission tracking)
- Stay current on local, state, and federal real estate regulations and compliance requirements
Qualifications & Skills
- 1–3 years experience in real estate administration, transaction coordination, or a related role preferred
- Familiarity with real estate contracts, disclosures, and state/local regulations
- Experience with transaction management software (Dotloop, Skyslope, Brokermint, etc.)
- Excellent organizational abilities, attention to detail, and time management skills
- Strong written and verbal communication skills
- Ability to manage multiple files and deadlines simultaneously
- High level of professionalism and customer service mindset
- Proficiency with MS Office (Word, Excel) or Google Workspace
- Ability to work independently, problem-solve, and handle stressful situations
- Bonus: Real estate license, experience in your specific market, knowledge of title/escrow processes
