JOB SUMMARY:
The Member Experience & Operations Associate serves as one of the primary ambassadors of the Jacksonville Civic Council. This role is responsible for creating exceptional experiences for members, partners, and community stakeholders while ensuring the day-to-day operations of the organization run seamlessly.
Whether welcoming CEOs into our office, coordinating high-impact member meetings, supporting the executive team, or managing the behind-the-scenes details that make our work successful, this individual plays a critical role in bringing the Civic Council's mission to life.

This is an in-person position requiring regular office presence (typically three to five days per week depending on organizational needs) and flexibility to work occasional evenings and weekends to support member meetings, board meetings, and special events.
DUTIES AND RESPONSIBILITIES:
Member Experience & Hospitality-
- Serve as one of the first points of contact for members, visitors, and community leaders.
- Welcome guests and create a professional, warm, and engaging experience.
- Build positive relationships with more than 100 of Jacksonville's top business and civic leaders.
- Help transform organizational strategy into exceptional member experiences.
Events & Meeting Execution-
- Coordinate logistics for member meetings, board meetings, committee meetings, task forces, and special events.
- Manage venues, catering, vendors, registrations, materials, signage, and event logistics.
- Prepare agendas, slide presentations, scripts, and supporting materials.
- Record and distribute meeting minutes and action items.
Operations, Communication & Organizational Support-
- Maintain member databases, CRM systems, contact lists, and organizational records.
- Develop and maintain Standard Operating Procedures (SOPs) and continuously improve organizational processes.
- Coordinate calendars, travel, appointments, and meeting schedules for staff and organizational leadership.
- Manage office operations, including supplies, equipment, and general administrative support.
- Answer phones, manage correspondence, and respond to administrative inquiries.
- Process incoming checks, assist with invoicing, and provide operational and financial administrative support.
- Maintain and update the Jacksonville Civic Council website.
- Design and update presentations, reports, newsletters, and other organizational communications.
- Prepare meeting briefs, research summaries, and background materials for staff and leadership.
Innovation & Continuous Improvement-
- Explore and implement AI and technology solutions that improve organizational effectiveness and member experience.
- Take ownership of creating an organized, welcoming, and high-performing workplace.
- Perform other duties as assigned.
QUALIFICATIONS:
Required
- Bachelor's degree or equivalent professional experience.
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Proficiency with Microsoft Office and Google Workspace.
Preferred
- Experience coordinating meetings or events.
- Experience with Canva, presentation design, or website updates.
- Experience supporting executives or working with boards of directors.
