Summary
The Operational Excellence Specialist provides administrative, analytical, and coordination support to the Operational Excellence and Transformation Office team to ensure the successful execution of healthcare process improvement and strategic transformation initiatives. This role supports project planning, documentation, reporting, and Transformation Office administrative functions, enabling leadership to focus on delivery, governance, and value realization. The Operational Excellence Specialist plays a key role in maintaining Operational Excellence Office standards, operational discipline, and organizational alignment across clinical and administrative stakeholders.
Responsibilities
Support leadership in the planning, execution, and monitoring of operational excellence and process improvement initiatives.
Maintain project documentation, including charters, schedules, action logs, risk registers, and status reports.
Coordinate project meetings, prepare agendas, document minutes, and track action items to closure.
Assist with data collection, KPI tracking, dashboard updates, and performance improvement reporting.
Support resource coordination, timeline tracking, dependency management, and milestone monitoring.
Ensure accurate and timely updates in PMO systems and tools (e.g., ClickUp, SharePoint, MS Office).
Assist with basic budget tracking, issue logging, and risk documentation.
Support Lean Six Sigma and continuous improvement activities, including process mapping and workflow documentation.
Provide administrative support for Transformation Office initiatives, governance forums, and workstreams.
Assist with scheduling and coordinating Transformation Office meetings, workshops, and Kaizen events.
Prepare and organize agendas, presentations, materials, and follow-up documentation for leadership meetings.
Maintain Transformation Office documentation repositories, folders, templates, and standardized tools.
Track Transformation Office action items, deliverables, and reporting deadlines across multiple workstreams.
Support project intake, prioritization, and pipeline tracking processes for the Transformation Office.
Assist with onboarding materials, role assignments, and coordination for new OpEx team members.
Ensure consistency and compliance with Transformation Office governance, reporting, and documentation standards.
Experience
Perform all other related job duties as assigned.
At least 2 years of experience in administrative, project coordination, or operational support roles.
Education
Associate's or Bachelor's degree in Business, Healthcare Administration, or a related field is preferred.
Skill
Ability to analyze, organize and prioritize work accurately while meeting multiple deadlines. Ability to communicate effectively in both oral and written form. Ability to handle difficult and stressful situations with critical thinking and professional composure. Ability to understand and follow instructions. Ability to exercise sound and independent judgment. Knowledge and skill in use of job appropriate technology and software applications.
