What are the responsibilities and job description for the ADMINISTRATIVE ASSISTANT - COUNTY ADMINISTRATOR/CONTROLLER'S OFFICE position at Jackson County?
Provides secretarial and administrative support to the Administrators and members of the County Board of Commissioners. Researches material, types correspondence, contracts, and various sensitive documents for the Administrators and Board. This position is located in the County Tower Building. Schedule is Monday through Friday, 8 am to 5 pm.

SUMMARY OF RESPONSIBILITIES:
1. Accesses and maintains filing systems, organization and other routine office operations for the County Administrator/Assistant County Administrator or Commissioners. Answers telephone calls and receives visitors for the Board and County Administrator/Deputy County Administrator and responds to inquiries and concerns. Reviews Board and Administrators’ mail and routes appropriately.
2. Performs a variety of related functions such as maintaining inventory of office supplies and forms, preparing vouchers for payment of expenses of the administrative department, maintaining and updating lists of various committees and officials, and performing related tasks.
3. Responds to the public, employees and elected officials in identifying, researching, and obtaining Board and administration data and reports.
4. Schedules a variety of meetings for the Administrators and Commissioners including meeting preparation and communication. Arranges rooms before meetings; IT requests, refreshments/meals/drinks, furnishings/layout. Takes minutes of various meetings upon request and transcribes meeting notes.
5. Makes conference and travel arrangements for Administrators and Board members and processes reimbursement requests.
6. Maintains online calendar and website pages relating to Administrator/Controller office and Board of Commissioners
7. Assists Administrator/Controller and Assistant Administrator with policy schedule and updates.
8. Maintains records of Board/Committee terms and appointment dates and composes and distributes press releases for term expirations and vacancies.
9. Assists the Administrators on special projects by making calls, collecting and compiling information, checking on various potential sources of information, and providing related support assistance. Works with Department Heads and staff to obtain needed information.
10. Prepares and processes vendor invoices and mileage/per diem, credit card statements and receipts for payment.
11. Assists the Administrators in the budget process by assembling departmental budget packets, inputting financial data to the computer, and copying, assembling, and distributing the final budget.
12. Assists in Board Docs administration, FOIA processes and news/media updates.
13. All other duties as assigned by the Executive Administrative Assistant, Assistant County Administrator, or the County Administrator.

The Employee contribution for the RHS Plan is $900 annually with an employer contribution of $2,050 annually.

REQUIREMENTS:
Education: Associates Degree, or equivalent, in business management, accounting, secretarial science, office management, or related field.
Experience: Two years of progressively more responsible secretarial/administrative experience with experience with word processing and spreadsheet applications. Microsoft office suite and Adobe.
Other Requirements: Valid Michigan Driver’s license.
Relevant Skills/Specialized Equipment Knowledge:
- Must be comfortable and confident if ability to function independently with little supervisor and feedback. Position requires a high level of independent decision making and show initiative in identifying critical issues that may affect the office and ascertain potential resolutions.
- Position requires a high level of confidentiality and discretion, as position will be privy to high level communications and confidential information related to topics such as: budget, finance, discipline, grievances, etc.
- Basic office equipment such as telephone, calculator, photocopier, Fax, etc.
- Computer programs including word processing, spreadsheets, database entry and maintenance, financial applications and desktop publishing.
- Ability to maintain strict confidentiality and perform all duties in a professional demeanor.
- Strong written, verbal and interpersonal communication skills and act as effective liaison between executives and department heads.
- Ability to use sound judgment and discretion.
