The Assistant Receiving Supervisor oversees all inbound operations, ensuring that materials, supplies, and products are received, inspected, and processed accurately and efficiently. This role is responsible for managing the receiving team, maintaining communication with internal departments and third-party logistics (3PL) partners, and ensuring compliance with company policies, safety standards, and production schedules.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Assistant Receiving Supervisor oversees all inbound operations, ensuring that materials, supplies, and products are received, inspected, and processed accurately and efficiently. This role is responsible for managing the receiving team, maintaining communication with internal departments and third-party logistics (3PL) partners, and ensuring compliance with company policies, safety standards, and production schedules.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Take attendance at the start and end of shift and log into the attendance tracker daily.
- Align breaks with team and verify material handlers return on time.
- Ensure material handlers perform their roles in accordance with SOPs and visual aids.
- Hold team members accountable to attendance policies (e.g., call-offs, tardiness, early leaves).
- Report any behavioral, performance, or attendance issues regarding temporary workers to the agency the same day.
- Conduct shift huddles at the beginning and end of each shift, covering:
- Safety reminders or incidents
- Daily goals and critical trailers/orders
- Communicate clearly during huddles: assign dock doors, confirm staffing coverage, and highlight any challenges.
- Maintain a shift log that includes Attendance, Trailer movements and Operational blockers
- Manage HOZ time status (orders waiting vs. cleared within SLA)
- Supervise daily receiving activities to ensure timely unloading, inspection, and documentation of incoming goods.
- Verify accuracy of shipments against purchase orders and packing lists.
- Ensure all materials are properly labeled, staged, and transferred to designated storage or production areas.
- Oversee proper handling of urgent or high-priority deliveries.
- Lead, coach, and develop receiving personnel to meet departmental goals.
- Assign work schedules, monitor performance, and provide feedback.
- Promote accountability, teamwork, and adherence to operational standards.
- Conduct training on standard operating procedures (SOPs), safety, and quality expectations.
- Communicate effectively with Production, Quality, and Logistics teams to ensure smooth material flow.
- Liaise with 3PL partners, carriers, and vendors regarding delivery schedules, discrepancies, or delays.
- Provide daily updates to management on inbound performance, issues, and corrective actions.
- Ensure accurate documentation of all inbound transactions in SAP.
- Maintain records for audits and inventory reconciliation.
- Enforce compliance with safety, quality, and company policies always.
- Identify and implement process improvements to increase accuracy and efficiency.
- Analyze receiving trends and recommend resource adjustments as needed.
- Support initiatives related to inventory accuracy, space utilization, and operational excellence.
- Maintain full visibility of all inbound shipments, expected receipts, and priority materials.
- Coordinate trailer movements and ensure accurate dock door assignments to minimize trailer dwell time.
- Ensure material handlers execute all receiving functions per SOP and document all receipts accurately in SAP.
- Escalate missing or incomplete packing lists to procurement/logistics immediately for resolution.
- Liaise with procurement, logistics, and inventory teams to resolve discrepancies or investigate missing shipments.
- Oversee unloading, labeling, and put-away processes to ensure efficient dock-to-stock flow.
- Own and manage all Hands-Off Zones (HOZs).
- Escalating late inbound orders to appropriate stakeholders.
- Ensuring timely removal of finished goods from outbound HOZs.
- Ensuring timely removal of ASNs from outbound HOZs.
- Performing scanned updates into the HOZ Asset Tracker
- Must understand and be able to perform all functions of the receiving process in accordance with VA/SOP.
- This includes system knowledge of SAP, planning schedules, and any applicable 3PL portals.
- High School diploma required
- Three (3) years shipping related experience required
- Or an equivalent combination of education, training or experience.
