About the Role
The Records Clerk is responsible for maintaining accurate, confidential, and compliant administrative records for Morton High School District 201. This position supports school and district operations by processing, organizing, and safeguarding records.
Responsibilities
- Promptly, accurately, and effectively assess all district document types and record categories; establish and maintain an annual review schedule for district-wide records.
- Work with departments to determine departmental record needs and assist departments with the development of document categories and storage options.
- Collect, sort, prepare, scan, label, and index documents; enter records into electronic systems to ensure accurate retrieval.
- Provide assistance in the transportation of boxed documents to district storage facilities; organize and number boxes; maintain storage inventory.
- Develop, maintain, and monitor annual retention and destruction schedules for all district departments based on record category and type.
- Provide post-scanning quality assurance to ensure batches are complete, accurate, and of high quality.
- Operate and maintain scanning equipment, including calibration, basic cleaning, configuration of scan settings, and troubleshooting basic equipment issues.
- Maintain official record files; file, label, and coordinate documents designated for long-term or permanent storage with appropriate departments.
- Ensure documents are archived and properly located.
- Convert documents to various formats and assist in transferring data between systems.
- Provide customer service and support to users of evaluation software.
- Assist with the coordination, documentation, and onboarding of clinical placements for observation and student teaching assignments.
- Create and distribute contracts and other workflow documents via the District’s approved electronic signature platform.
- Manage the documentation of certified staff evaluations through the use of Frontline, specifically the Professional Growth program.
- Maintain strict confidentiality and compliance with all federal, state, and District requirements in the performance of assigned duties.
- Provide coverage for the District receptionist during breaks and lunch periods.
- Additional duties and/or responsibilities as assigned or required by the Human Resources Coordinator and/or Executive Director of Human Resources.
Qualifications
- High School Diploma or equivalent.
Required Skills
- The ability to provide efficient customer service by communicating clearly, objectively, and timely, both verbally and in writing.
- Strong organizational skills with the ability to prioritize work.
- Ability to exercise independent and sound judgement, initiative, and practical problem-solving skills within established procedures, guidelines, and rules.
- Demonstrates proficiency in the use of computers and scanning equipment, including typing and software applications, with working knowledge of Microsoft Office (Word, Excel, and databases) for creating and managing documents, spreadsheets, and records.
- Ability to work well in a team environment, establish and maintain effective working relationships with faculty, staff, and all pertinent stakeholders.
- The ability to work consistently with a growth mindset.
Preferred Skills
- Experience with business and student information systems (Skyward preferred).
- Knowledge of retention and destruction of requirements administered by local, state, and federal mandates.
Pay range and compensation package
