POSITION
Office Manager
Hourly Non-Exempt – 8 hours per week with potential to expand to up to 20 hours per week
REPORTS TO
JRH Principals
GENERAL DESCRIPTION
Supports a team of structural engineers by managing a wide range of administrative and organizational tasks in a small but fast-paced professional office environment. The position will begin at approximately 8 hours per week, focused on core administrative responsibilities. As the firm transitions certain outsourced accounting and administrative functions in-house, the role may expand up to 20 hours per week to include bookkeeping support, invoicing, and other operational tasks currently performed by a third-party service.
TYPICAL RESPONSIBILITIES (Initial Phase, 8 hours/week)
- Assist with payroll entry and timesheet review coordination
- Manage incoming and outgoing mail
- Maintain office supplies, coordinate equipment needs, and support daily office operations.
- Assist with marketing tasks
- Provide general HR-related administrative support
- Support engineers with various administrative tasks
FUTURE RESPONSIBILITIES (Expanded Role, up to 20 hours/week)
- Manage accounting email, enter cash receipts and vendor invoices, coordinate approvals, and maintain digital records
- Assist with vendor payments, consultant invoice tracking
- Review employee expense reports
- Lead client invoicing and coordination with engineers on billing information
- Assist with budget preparation and related administrative tasks
- Support account reconciliations and payroll-related reconciliation activities
- Assist with year-end reconciliation and coordination
SKILLS AND ABILITIES
- Self-motivated, organized, and eager to learn and contribute to a growing engineering office
- Strong communication skills, both written and verbal, with the ability to interact professionally with clients, vendors, and staff
- Highly dependable, able to manage tasks independently, and accountable for follow-through
- Comfortable working with digital tools, cloud-based systems, and learning new software
- Prior experience with bookkeeping or accounting support is a plus (Ajera experience is a strong plus)
- Ability to maintain confidentiality and handle sensitive information with discretion
PAY
$30-$40/hour depending on experience
