Demonstrate positive interpersonal interactions with all school staff, district office personnel, and visitors.- Respond to community inquiries regarding general school and district information.
- Provide clerical and receptionist support at the school to include:
- Greet all visitors courteously, ascertain nature of business, direct to appropriate person and provide notification of visitors' arrival.
- Observe flow of visitors/students for security purposes in restricted areas; question unfamiliar visitors to determine or obtain authorization to enter area.
- Take incoming telephone calls, messages, and transfer calls; operate telephone system with specialized functions to accommodate multiple extensions and incoming calls.
- Respond to inquiries and provide information or assistance to callers and visitors.
- Call parents as necessary.
- Maintain an attractive and comfortable reception area supplied with general information for parents and visitors.
- Assist other school staff members as necessary.
- Sort and route mail to appropriate areas.
- Assist with preparation of correspondence, reports, and other documents as requested.
- Use computer word processing software to type documents.
- Copy, mail, fax, and file correspondence and other records; make photocopies as necessary.
- Maintain and safeguard student records and confidential information.
- Prepare notes or reminders for staff and administrators.
- Assist with school mailings and maintain stock of office supplies.
- Must have or be able to obtain an IVP Fingerprint Clearance Card, through Arizona Department of Public Safety
- High School Diploma or GED required.
- Demonstrate professionalism in attitude, dress and office demeanor.
- Demonstrated general clerical and computer/word-processing skills, including experience with MS Windows.
- Keyboarding proficiency appropriate for position, with good accuracy.
- Demonstrated knowledge and ability to utilize office equipment.
- Demonstrated knowledge of switchboard and reception operations.
- Possess good organizational and planning skills.
- Positive, effective communication skills in dealing with students, employees, parents and the community.
- Ability to prioritize tasks, work under pressure, and meet deadlines with constant interruptions.
- Knowledge of school practices and procedures; public school experience preferred.
- Bilingual ability preferred.
- Familiarity with legalities concerning confidentiality of records and information.
