Job/Company Overview
J&N Property Preservation LLC is a growing property management company, currently covering the entire state of Connecticut, as well as some areas of Rhode Island and Massachusetts. We are looking for a dynamic and organized part time office assistant to join our team and help with various office tasks. As a vital member of our office, you will help ensure smooth daily operations, manage front desk duties, and assist with processing job orders and managing payments. Must have experience working with computers, a great work ethic, strong organizational skills, and attention to detail. Punctuality and reliability are necessary. Experience with Microsoft Office is required. Attention to detail is a must. This is a part time position – 24-30 hours per week. We are looking for someone who can grow with us, and the position could lead to increased hours, pay raises/bonuses, and promotions. Ideally, this job would lead to a full time position (35-40 hours) within a few months. **This position will require a few weeks of training, and during training, hours will be approx. 10 hours per week**
Responsibilities
- Submitting work orders based on company standards and utilizing FreshBooks to keep track of invoices
- Handle data entry, filing, and document proofreading to maintain organized records
- Checking equipment in and out
- Answering phones and taking messages accordingly
- Emailing various other team members as needed
- Maintain a clean and organized reception area, ensuring a professional environment
- Assistance onboarding new hires - posting job listings to different sites, reviewing applicants, reaching out to applicants to ask screening questions, setting up interviews, etc.
- Organizing financial files with precision
Experience
- Prior office experience or clerical experience is preferred but not required; training will be provided for the right candidate
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent organizational skills with the ability to prioritize tasks efficiently
- Experience in customer service or customer support roles demonstrating strong communication skills
- Knowledge of office management procedures such as filing, data entry, and calendar management is advantageous
