Position Summary

If you are looking for a deadline driven, fast-paced environment to work in this role could be for you! The purpose of our on-site, Service Operations Specialist position is to edit and correct client data for fuel tax reports, perform a variety of vehicle services functions, including: completing fuel, authority, IRP and Base Plate registration applications for clients, and processing unit additions, changes, and deletions.

Job Responsibilities

  • Verifies, analyzes and corrects client data used to produce fuel tax reports. Makes corrections here or returns documents to client for corrections as appropriate.
  • Ensures timely receipt and entry of fuel and toll billings.
  • Reviews MPG's for accuracy and ensures corrections are made as necessary.
  • Ensures timely closure of Fuel & Mileage monthly and quarterly reports for clients.
  • Identifies and communicates fuel and mileage trends that can improve tax savings and/or minimize audit exposure for clients.
  • Works directly with CSS and clients to obtain and validate information.
  • Completes original, additional, and renewal applications for clients in an accurate and timely manner.
  • Monitors IRP supplements and payments to ensure timely receipt of credentials.
  • Completes monthly, quarterly, and annual fuel and mileage tax reports for clients in an accurate and timely manner.
  • Prepares Services Fleet Check Input Sheet for release of checks to states.
  • Communicates errors and/or credit issues to CSS and ensures timely mailing of applications or taxes.
  • Prepares permit credentials and distributes to clients' corporate or fleet locations.
  • Investigates and resolves basic client data issues as appropriate. Refers complex issues to appropriate person.
  • Enters unit additions, changes, and deletions for clients and creates applicable work orders.
  • Performs other duties as assigned.

Qualifications

Education:

  • High School Graduate or General Education Degree (GED).

  • Associate's Degree, preferred

Experience:

  • 2 years of experience in a general office setting.
  • Experience in a fast-paced, deadline-driven environment is a plus.
  • In lieu, will consider a combination of experience and post-secondary education.

Other Skills/Qualifications:

  • Must be proficient in the use of a PC and MS Office Suite, with intermediate excel skills preferred.
  • Ability to work in a fast-paced, deadline driven environment.
  • Ability to work in a team environment.
  • Strong detail orientation.
  • Good organizational skills.
  • Desire to meet and exceed client expectations.
  • Willingness to participate in background check/fingerprinting requirements at state or local jurisdictions to obtain access as needed to fulfill services.

Physical Requirements

Work is performed primarily in a standard office environment. Work involves operation of personal computer equipment for extended periods of time.
