We are seeking a highly organized and professional Customer Service/Office Administrator to join our team. Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Oversee calendar management, scheduling appointments, meetings, and events efficiently
- Coordinate event planning activities and assist with logistics for company events
- Supervise office staff and coordinate training & development initiatives to enhance team performance
- Handle vendor management, including procurement and maintaining relationships with suppliers
- Perform bookkeeping tasks using QuickBooks, including invoicing, billing, and record keeping
- Manage human resources functions such as payroll processing, employee records, and onboarding procedures
- Assist with budgeting processes and monitor office expenses to ensure cost-effective operations
- Maintain filing systems, organize documents, and ensure compliance with record retention policies
- Support medical office management tasks if applicable, including patient scheduling and record updates
- Ensure excellent phone etiquette and communication skills are maintained at all times for internal and external interactions
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Prior experience in customer service or front desk management is preferred
- Proficiency in QuickBooks and familiarity with schedule management tools
- Experience with vendor management, bookkeeping, payroll, and budgeting processes
- Supervising or team management experience is a plus
- Strong communication skills, both verbal and written, along with excellent phone etiquette
- Ability to handle multiple priorities efficiently in a fast-paced environment
- Knowledge of human resources practices and medical office management (if applicable)
- Office experience including filing systems, calendar management, and administrative support functions
