Overview
We are seeking a highly organized and professional Customer Service/Office Administrator to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong communication skills, excellent organizational abilities, and experience in office management. Responsibilities

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Oversee calendar management, scheduling appointments, meetings, and events efficiently
  • Coordinate event planning activities and assist with logistics for company events
  • Supervise office staff and coordinate training & development initiatives to enhance team performance
  • Handle vendor management, including procurement and maintaining relationships with suppliers
  • Perform bookkeeping tasks using QuickBooks, including invoicing, billing, and record keeping
  • Manage human resources functions such as payroll processing, employee records, and onboarding procedures
  • Assist with budgeting processes and monitor office expenses to ensure cost-effective operations
  • Maintain filing systems, organize documents, and ensure compliance with record retention policies
  • Support medical office management tasks if applicable, including patient scheduling and record updates
  • Ensure excellent phone etiquette and communication skills are maintained at all times for internal and external interactions

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Prior experience in customer service or front desk management is preferred
  • Proficiency in QuickBooks and familiarity with schedule management tools
  • Experience with vendor management, bookkeeping, payroll, and budgeting processes
  • Supervising or team management experience is a plus
  • Strong communication skills, both verbal and written, along with excellent phone etiquette
  • Ability to handle multiple priorities efficiently in a fast-paced environment
  • Knowledge of human resources practices and medical office management (if applicable)
  • Office experience including filing systems, calendar management, and administrative support functions

Job Type: Full-time

Pay: $20.00 - $23.50 per hour

Expected hours: 40 per week

Work Location: In person
