Position Overview

J & J Air is seeking a highly organized, client-focused HVAC Installation Coordinator to support our HVAC installation department. This position plays a key role in coordinating construction permits, scheduling installation appointments, providing administrative support, and ensuring exceptional client experience throughout the installation process. The ideal candidate is detail-oriented, communicates effectively, and thrives in a fast-paced environment while managing multiple priorities.

Key Responsibilities

• Coordinate and obtain required construction permits for HVAC installation projects.
• Work closely with the HVAC sales and installation teams to ensure all permits and documentation are completed accurately and on time.
• Schedule installation appointments and maintain communication with clients regarding project timelines.
• Provide administrative support for the installation department, including data entry, document management, and maintaining accurate client records.
• Conduct post-installation "Happy Calls" to ensure client satisfaction, answer questions, and address any concerns.
• Assist with processing installation paperwork and ensuring all required documentation is complete.
• Communicate professionally with homeowners, contractors, municipalities, and internal team members.
• Help develop and improve office procedures and workflows to increase efficiency.
• Prepare reports and assist management with installation-related administrative tasks as needed.
• Deliver exceptional client service while representing J & J Air in a professional and positive manner.
  
  
  

Qualifications

• Previous customer service or administrative experience required.
• Experience coordinating permits, scheduling, and construction processes.
• Strong organizational skills with excellent attention to detail.
• Ability to prioritize multiple tasks in a fast-paced environment.
• Excellent verbal and written communication skills.
• Proficiency with computers, data entry, and Microsoft Office applications.
• Ability to work independently while collaborating effectively with a team.
