Service Coordinator – High-Volume Service Department

Our Service Department is the frontline of customer support — fast, responsive, and critical to our clients’ operations.
We are seeking a Service Coordinator who thrives under pressure, excels at multitasking, and can handle a high volume of scheduling, billing, and customer interactions with accuracy and professionalism. This is not a desk job where the day drags — every day is different, and the pace is nonstop.
What You’ll Do
- Serve as the primary point of contact for customers, technicians, and managers, fielding a constant flow of calls, emails, and requests.
- Schedule and coordinate service work in real time, aligning urgent customer needs with technician availability.
- Create and manage work orders and job numbers quickly and accurately.
- Process high-volume billing for service jobs, ensuring timeliness and accuracy.
- Collect and input critical service data, including customer contacts, job details, and service requests.
- Prepare proposals and quotes to support Service Managers.
- Keep service records and documentation organized and compliant with department standards.
- Jump in to support teammates and ensure no request falls through the cracks.
- Represent J.E. Richards with professionalism, urgency, and a customer-first mindset.
What We’re Looking For
- Experience in a high-volume, fast-paced service or administrative role.
- Strong customer service skills with the ability to juggle multiple demands at once.
- Excellent communication skills, both written and verbal.
- Highly organized, detail-oriented, and able to work under pressure without losing accuracy.
- Experience with ERP Viewpoint by Vista and Field Connect
- Ability to adapt quickly to shifting priorities and urgent requests.
- Team player with a proactive, can-do attitude.
