Job Summary: We are seeking a creative and organized Equipment Manager to lead our team. This role will focus on developing, executing, and optimizing driver equipment strategies to retain high-quality drivers. The ideal candidate has a strong equipment management background, excellent leadership, communication, and relationship building skills, and a passion for accountability and acceptability in a dynamic environment.
The Equipment Manager is responsible for the oversight, tracking, maintenance, utilization, and lifecycle management of all company-owned equipment and assets. This position ensures company assets are properly assigned, maintained, inventoried, and replaced as needed to maximize operational efficiency, reduce costs, and maintain compliance.
Key Responsibilities:
- Maintain an accurate inventory of all company-owned, leased, and rented assets.
- Coordinate procurement, deployment, transfers, and returning/selling of company assets.
- Responsible for learning/maintaining Fleetio, McLeod, Prepass and any system to maintain control of the fleet.
- Monitor equipment utilization and recommend replacements or reallocations.
- Manage company tractors, trailers, yard trucks, and other fleet equipment.
- Coordinate with maintenance to ensure preventive maintenance schedules are followed.
- Track equipment age, mileage, utilization, warranties, and replacement timelines.
- Assist with equipment purchasing decisions based on operational needs.
- Maintain relationships with equipment vendors and suppliers.
- Obtain quotes and negotiate pricing.
- Coordinate equipment deliveries and warranty claims.
- Assist in developing annual equipment budgets.
- Monitor equipment expenditures, analyze repair versus replacement decisions, and identify opportunities for cost savings and improved asset utilization.
- Ensure company assets meet DOT, OSHA, and company compliance requirements.
- Develop and maintain asset management policies and procedures.
- Prepare monthly reports.
- Work closely with Operations, Maintenance, Safety, Recruiting, and HR.
- Support onboarding by ensuring equipment is available for new hires and coordinate retrieval of company assets during employee separations.
Skills & Qualifications:
3–5 years of experience in fleet management, equipment management, asset management, or transportation operations.
- Experience in trucking is strongly preferred.
- Strong organizational and inventory management skills.
- Proficiency in Microsoft Office, especially Excel.
- Strong analytical, communication, and problem-solving skills.
- Understanding of preventive maintenance programs.
- Ability to manage multiple projects and priorities.
- Strong attention to detail and recordkeeping.
- Ability to analyze equipment utilization and operating costs.
- Excellent vendor negotiation and relationship management skills.
- Ability to work collaboratively across multiple departments.
- Ability to occasionally lift up to 50 pounds.
- Ability to walk throughout shop, yard, and office environments.
- Ability to inspect equipment in outdoor weather conditions.
- Frequently sitting, standing, walking, bending, and reaching.
- Occasional travel between company locations.
- May require occasional after-hours support for urgent operational needs.
