The Role
We are looking for a part-time Retail & Community Engagement Associate to join our team. This role is a mix of retail customer service, event coordination, promotions, marketing, and community building. You will help keep the store running smoothly on the retail side while also managing the master event calendar, supporting community leaders, coordinating promotions, collecting feedback, and helping the team grow with smart, creative ideas.

- Front-loaded effort: In the beginning, you’ll help us lay the foundation for a proper event and promotions system by organizing the calendar, documenting processes, and setting up communication with community leaders.

Day-to-day, that means:
- Assisting customers and keeping the store welcoming
- Updating and managing the master event calendar
- Coordinating with community leaders and staff on events and promotions
- Creating and posting flyers, social updates, and online promotions
- Helping ensure promotions and events are displayed and marketed both in-store and online
- Gathering feedback from players and staff to keep improving
Responsibilities
Retail & Customer Service
- Welcome and assist customers on the sales floor, answer questions, and provide product recommendations
- Operate the register and help with stocking, organizing, and merchandising
- Handle light and deep cleaning duties as needed including bathroom rotation, spills, and rearranging store layout
- Lift boxes up to 30 lbs, stand for extended periods, and move tables and chairs for events
Event Coordination
- Maintain the master event calendar and ensure all weekly, monthly, and special events are registered on the appropriate platforms
- Coordinate with community leaders to confirm event details such as format, entry fee, prizing, and schedule
- Support event promotion by creating or delegating flyers, social posts, and announcements
- Ensure deadlines are met for event registration, promotion, and reporting
- Step in to assist with event organization when needed, including setup, check-in, and running events independently if coverage is unavailable
Community Building & Leadership
- Help identify and recruit new community leaders for different games and events
- Support and communicate with community leaders to make sure they have the resources needed for successful events
- Act as a connector between community leaders, retail staff, and management so events, promotions, and in-store experiences feel consistent and well-supported
Marketing, Promotions & Community Engagement
- Create and share content such as event posters, social posts, web banners, photos, and product highlights in line with our brand
- Capture photos and short videos at events to share community moments online
- Respond to customer messages and community engagement online including comments and DMs
- Help plan and promote sales or special promotions (for example bundles, mystery bags, or clearance items) and coordinate with staff to make sure products are displayed, inventoried, and marketed both in-store and online
- Collaborate with the Whatnot team to promote upcoming streams and special sales across channels
- Use tools such as Canva, Meta Business Suite, Omnisend, Shopify, Google Ads, Google Analytics, GTM, TikTok, Instagram, and Facebook
- Assist with additional duties such as Shopify pickup prep, Whatnot and Shopify shipping support, and TCG sorting
Retail & Promotions Connection
- Communicate upcoming events and promotions to the retail team so staff can promote them on the floor
- Help ensure promotions and events are displayed, inventoried, and marketed consistently across the store and online
- Gather feedback from customers and staff about products, events, and promotions to improve future planning
Customer & Community Feedback
- Conduct customer interviews, quick surveys, or polls to gather feedback on events, promotions, and store experience
- Track and organize feedback so patterns and recurring requests can be identified
- Share feedback with ownership and staff in a clear way that leads to action
- Help test small changes based on feedback and report on whether they improved the customer experience
- Act as a “voice of the community” within the team by surfacing what players and customers are asking for
Data, Reporting & Communication
- Track attendance, sales tied to promotions, and engagement on social posts
- Provide simple reports and updates to ownership so decisions can be made without digging through data
- Keep clear documentation of event details, prizing, and promotions so staff and community leaders have a reliable reference
Onboarding & Training Support
- Help onboard new community leaders or retail staff by walking them through the event calendar, marketing tools, or store systems
- Create simple how-to guides or checklists for repeat processes such as registering events or posting flyers
Vendor & Publisher Support
- Assist with registering for organized play programs such as Wizards Play Network and Pokémon Play
- Keep track of deadlines for kits, promo reporting, or marketing materials provided by publishers
Website & Online Store Support
- Update banners, featured products, and event info on Shopify
- Ensure promotions, events, and new releases are consistent across online and in-store channels
Strategic Support
- Brainstorm and test new community-building ideas such as event formats, themed promotions, or leagues
- Track event and promotion performance to measure impact and recommend improvements
- Suggest creative ways to highlight products, events, or community stories that fit our brand and mission
- Support long-term initiatives such as building loyalty programs, expanding online community engagement, or planning seasonal promotion strategies
- Work closely with management to identify opportunities for the store to grow and contribute ideas for improving operations, events, and community outreach
- Stay on top of gaming trends, popular formats, and community chatter to suggest new events or promotions
- Explore potential outreach opportunities with schools, libraries, or community groups to invite new players into the store
Documentation & Process Improvement
- Maintain and improve guides, checklists, and repeatable processes for events, promotions, and marketing
- Suggest and implement workflow improvements to help the team and community leaders work more efficiently
Requirements
- Age 18
- Reliable transportation for attending events and taking photos
- Strong communication skills and a welcoming, community-first attitude
- Interest in games such as trading cards, board games, RPGs, or minis preferred
- Comfortable with technology and social media platforms
- Reliable, organized, and adaptable to a mix of retail, events, promotions, and marketing tasks
Schedule & Hours
- Part-time role requiring a minimum of 15 hours per week
- Maximum of 30 hours, with an expectation of 20 to 25 hours per week
- Set shifts with some flexibility
- Hours may increase during large release weeks or event heavy months with notice given in advance
Compensation & Growth
- Starting pay: $16.50/hr during the initial training period
- Growth potential: Up to $19/hr as you take on expanded responsibilities in event management, promotions, and marketing support
- Pay periods are every 2 weeks
- Staff discount on store products with most items available at near cost except for high demand releases and exceptions
This role is designed to grow with you. As you become more comfortable coordinating events, building community leadership, managing promotions, and supporting long-term initiatives, we will revisit compensation to reflect that added value.
