Ivy Prep Early Learning Academy is a multi-site early learning company serving infants through pre K across New York City. We combine nurturing care, high quality instruction, and strong family partnerships. Across our schools we currently have 283 open seats, primarily for children under age 3, and we are investing in marketing and enrollment to fill every available classroom.
Role summary
The Marketing and Enrollment Manager is responsible for one core outcome:
Keep Ivy Prep ELA schools full by driving qualified inquiries, tours, registrations, and student start dates.
You will design and execute marketing campaigns, manage the enrollment funnel, and work closely with school directors and the Owner and CEO to ensure that every classroom reaches and maintains target capacity.
This role is ideal for a marketer or sales driven operator who has grown enrollment or customers for a local service business, such as childcare, education, camps, medical practices, gyms, or similar.
Key responsibilities
1. Lead generation and awareness
- Own monthly lead generation goals for each Ivy Prep location, with a focus on under 3 seats
- Plan, launch, and optimize digital campaigns, including:
- Meta (Facebook and Instagram) ads
- Google search and local campaigns
- Maintain and improve online presence:
- Google Business Profiles
- Yelp and other relevant directories
- Ivy Prep website and landing pages
- Drive 5 star parent reviews on Google and other platforms and respond to all reviews and comments
- Develop local partnerships that drive enrollment, for example pediatricians, realtors, community centers, churches, libraries, and family organizations
2. Enrollment funnel and follow up
- Respond quickly to all inquiries that come by phone, web form, email, and social channels
- Use scripts and templates to ensure a warm, professional, and consistent experience
- Schedule tours, confirm appointments, and send reminders to maximize show rate
- Follow up with families who:
- Did not show for a tour
- Toured but did not register
- Registered but have not yet started
- Maintain a simple CRM or tracking system for every lead from first contact through start date
- Work with directors to keep tours high quality and aligned with Ivy Prep standards
3. Content and brand
- Keep website and program pages updated with accurate information, including schedules, age groups, tuition ranges, and promotions
- Plan and publish social content that supports enrollment: parent testimonials, classroom experiences, staff spotlights, open house announcements, limited time offers
- Coordinate production of flyers, brochures, banners, and signage for each location
- Ensure brand consistency in tone, look, and messaging across all channels
4. Reporting and analytics
- Create a weekly enrollment dashboard for the Owner and CEO that includes:
- Leads per location
- Tours scheduled and completed
- Applications, registrations, and start dates
- Open seats by age group and classroom
- Cost per lead and, where possible, cost per enrollment by channel
- Use data to recommend how to shift budget and focus between locations and campaigns
- Test and refine campaigns regularly, documenting what works and turning it into repeatable playbooks
5. Collaboration and operations
- Partner with Center Directors to align marketing offers, open house dates, and parent communications
- Train front desk and director teams on best practices for handling inquiries, tours, and follow up
- Provide input on promotional strategies, for example waived registration fees, referral bonuses, or seasonal specials, within approved guidelines
Qualifications
- 3 plus years experience in marketing, admissions, or enrollment for a local service business
- Childcare, early education, K to 12, camps, tutoring, or similar highly preferred
- Hands on experience running and optimizing Meta and Google campaigns
- Strong comfort with numbers: you can talk about cost per lead, conversion rates, funnel stages, and capacity
- Excellent communication skills by phone, email, text, and in person
- Experience using a CRM or at least a structured lead tracking system
- Ability to travel between multiple NYC locations during the week
- Spanish or other community languages a plus but not required
