Position Overview / Basic Function
This role provides administrative and operational support within an in vitro fertilization (IVF) laboratory while assisting in the management and oversight of cryogenic materials. The position supports quality control processes, documentation, laboratory operations, and ensures safe handling, storage, and transport of reproductive tissues in compliance with regulatory standards.
Distinguishing Characteristics
Under direct supervision, the Lab Assistant supports the laboratory team by maintaining accurate records, preparing supplies and equipment, performing basic lab techniques, supporting cryogenic operations, and assisting with EMR updates and laboratory documentation.
Key Responsibilities
Laboratory Operations:
Prepare paperwork and track cycle progression for patients undergoing procedures
Perform data entry and maintain accurate records to support quality assurance
Update EMR systems and laboratory tracking systems as needed
Scan and organize laboratory documentation and files
Prepare supplies and media for culture, cryopreservation, and thawing procedures
Perform sterilization, pipetting, and device preparation
Prepare and maintain laboratory equipment to ensure proper functionality
Track and manage inventory of laboratory supplies
Provide general lab support, including andrology support and documentation assistance
Support Laboratory Director and team with administrative tasks
Assist with daily lab operations, including clean-up and maintaining an organized workspace
Cryomanagement & Shipping Coordination:
Oversee handling, storage, and inventory of cryogenic materials, including sperm, oocytes, and embryos
Ensure accurate labeling, tracking, and documentation of all specimens
Coordinate incoming and outgoing shipments of cryogenic materials in compliance with regulatory standards
Monitor cryogenic tanks and equipment to ensure proper function and temperature control
Perform routine checks and coordinate maintenance or repairs as needed
Maintain detailed logs for storage, transfers, and shipments
Ensure compliance with all regulatory and safety standards (CLIA, FDA, OSHA)
Support quality control processes, audits, and inspections
Serve as a point of contact for cryogenic coordination with internal teams and external partners
Assist with training staff on cryogenic handling and safety protocols
Perform other duties as assigned
Qualifications
Bachelor’s degree preferred; Bachelor of Science in a biological or related field
Minimum of 1 year of laboratory experience, preferably with sterile technique, cell culture, or lab support functions
Experience in IVF or reproductive medicine preferred
Knowledge, Skills, and Abilities
Strong attention to detail, organization, and documentation skills
Ability to follow protocols and maintain regulatory compliance
Basic laboratory skills, including pipetting, sterilization, and equipment preparation
Strong communication skills and ability to work collaboratively
Ability to manage multiple priorities in a fast-paced environment
Ability to maintain confidentiality and handle sensitive information
Reliable with strong attendance and punctuality
Preferred Qualifications
Experience in an IVF or reproductive medicine setting
Familiarity with EMR systems, laboratory information systems, and Microsoft Excel
Knowledge of cryogenic storage and handling procedures
Schedule & Compensation
Hourly position with potential for overtime as needed
Rotating weekends required
Standard hours: 7:15 a.m. – 4:15 p.m., with occasional later/weekend shifts for documentation support as needed
