About the Role
Iversen Construction is seeking a highly organized, detail-focused Project Coordinator to support the VP of Residential Development across multiple high-end residential initiatives. This role is essential to ensuring that our homes, ranging from custom single-family residences to luxury townhomes, are delivered with precision, excellence, and an elevated client experience.
This is a dynamic position designed for someone who thrives in a fast-paced environment, communicates exceptionally well, and embraces the operational rigor needed to support a forward-thinking residential construction team. You will work closely with our VP, Superintendent, Project Administrator, homeowners, subcontractors, and suppliers to keep project tasks aligned, documentation accurate, and schedules advancing smoothly.

Key Responsibilities
Project Administration & Documentation
- Maintain and update project files, logs, selections documents, and change order tracking.
- Prepare subcontracts, purchase orders, and project correspondence.
- Ensure W-9s, COIs, quotes, scopes of work, and compliance documents are received, accurate, and properly archived.
- Assist with version control of plans, specifications, and homeowner selections.
- Prepare weekly project updates, summaries, and internal coordination materials for the VP.
Schedule & Workflow Coordination
- Support the team in maintaining structured workflows and project processes across all residential initiatives.
- Follow up with trades, suppliers, and internal team members to confirm upcoming work, deliveries, or required decisions.
- Assist in monitoring milestone status and flag risks or delays early.
- Coordinate site meetings, walk-throughs, and weekly production check-ins with the VP and Superintendent.
Subcontractor, Vendor & Homeowner Coordination
- Gather quotes, scope clarifications, and availability from subcontractors under the direction of the VP.
- Ensure all trades receive accurate, timely project information.
- Track change orders, field decisions, and price updates to ensure alignment across all stakeholders.
- Support communication between the VP, Superintendent, and Project Administrator to keep subcontractor activities organized and timely.
- Help support an elevated client experience by ensuring timely, accurate communication.
- Draft clear professional progress communications, track homeowner selections, approvals and outstanding decisions to maintain schedule alignment and prevent delays.
Financial & Tracking Support
- Maintain selection allowance trackers and budget updates for internal use.
- Help prepare summary reports for VP review prior to approvals.
- Support the Project Administrator to ensure discrepancies in invoices are resolved timely.
Process, Systems & Efficiency
- Support the VP in implementing new workflows, SOPs, and subcontractor policies.
- Maintain consistency in documentation, workflow standards, and communication practices.
- Help maintain consistency and organization across all residential initiatives through clear, streamlined systems.
Qualifications
Required
- Proven experience in project coordination, project management, operations or administrative roles.
- Exceptional organizational skills with a high attention to detail.
- Strong communication skills; written, verbal and digital.
- Ability to manage multiple priorities and work independently.
- Tech-savvy; comfortable with digital tools, project management systems, and cloud-based file organization.
- Professionalism, discretion, and the ability to work with high-caliber clients and partners.
Preferred
- Experience in residential construction, real estate development or design (not required).
- Familiarity with Outbuild, Procore, or similar construction management platforms.
- Basic understanding of reading plans, scopes of work, and residential construction terminology.
- Prior experience supporting executives or leadership roles.
- Strong initiative with the ability to anticipate needs and proactively solve problems.
