We are seeking a dynamic and highly organized Front Office Coordinator to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, coordinate administrative tasks, and provide exceptional customer service to visitors, clients, and team members. Your energetic approach and attention to detail will ensure smooth daily operations and a positive experience for everyone who walks through our doors. Key Responsibilities
Patient Experience & Front Desk Operations
- Greet and check in patients in a warm, professional, and welcoming manner
o Greeting patients by name and create a warm, professional, and welcoming environment.
- Manage appointment scheduling, confirmations, and follow-ups
- Answer phone calls, emails, and inquiries promptly and professionally
- Maintain a clean, organized, and inviting front office environment
- Bring a creative and proactive mindset to enhance the overall patient experience and office environment
- Demonstrate strong attention to detail, accountability, and ownership in all daily tasks
Scheduling & Coordination
- Coordinate provider schedules and optimize patient flow
- Manage cancellations, rescheduling, and waitlists
- Ensure accurate and timely patient documentation and intake
- Ensure all daily patient balances are collected in full, maintaining accuracy and financial integrity
- Actively support patient retention and growth efforts, including rebooking existing patients and identifying opportunities to bring in new clients
- Stay up to date on new services, programs, policies, and operational changes, and confidently communicate these to patients
- Maintain a forward-thinking approach by consistently looking for ways to improve workflows, patient experience, and office efficiency
Administrative & Operational Support
- Handle payments, memberships, and point-of-sale transactions
· Run and track daily, weekly, and monthly reports, including key performance indicators (KPIs) related to scheduling, revenue, and patient flow
- Maintain accurate patient records in EMR/scheduling systems
- Support day-to-day office operations and workflow efficiency
- Assist with inventory tracking and basic supply coordination
Team & Culture
- Collaborate closely with RNs, APRNs, and leadership
- Contribute to a positive, accountable, and team-oriented culture
- Support practice growth initiatives and operational improvements
- Provide light social media support in-office (content capture, posting assistance, promoting services and engagement)
- Collaborate closely with the leadership team to support ongoing growth initiatives and help drive the mission of the practice
Qualifications
- Prior experience in a medical office, wellness practice, or customer-facing role preferred
- Strong communication and interpersonal skills
- Highly organized with strong attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Comfortable with technology (EMR systems, scheduling platforms, POS systems)
- Professional, polished, and dependable
Preferred (But Not Required)
- Experience in aesthetics, IV therapy, concierge medicine, or wellness settings
- Background in healthcare administration or customer service roles
- Experience with membership-based or boutique practices
