You’ll work directly with theDirector of Operations and support every function that keeps the company running—nurse scheduling,inventory, event support, compliance, patient logistics, and day-of problem solving. Ideal for someoneearly in their career who wants to learn and grow within a fast-scaling medical services company.Key ResponsibilitiesDaily Operations Schedule nurses and manage appointment logistics across NYC markets Track, order, and audit inventory; manage stock across all locations Assist with payroll preparation and invoice processing Support hiring efforts: job postings, candidate communication, onboarding Maintain SOPs, filing systems, and operational dashboards Work within Zenoti, Vagaro, HubSpot, and internal systems to maintain accurate operational data Troubleshoot scheduling issues and system errorsReal-Time Problem Solving Respond quickly to day-of operational challenges (call-outs, supply shortages, routing issues,patient escalations) Communicate effectively with nurses and leadership to ensure smooth resolutions Maintain operational continuity during high-volume periodsField & Event Support Set up and break down events, trainings, and pop-up activations Manage equipment check-in/check-out for field nurses Move and transport supplies (ability to lift ~30 lbs required) Keep office and treatment spaces organized and fully stocked Support occasional evenings/weekends for events or trainingsTeam Coordination Distribute uniforms and supplies to the field team Assist with patient rescheduling and general logistics questions Track nurse performance metrics such as AOV, add-ons, and volumeCompliance & Quality Maintain HIPAA-compliant documentation and filing Track incident reports, quality issues, and service metrics Support regulatory and audit preparation Monitor product expiration dates Uphold confidentiality and professional standards across all interactionsVendor & Growth Support Communicate with medical supply vendors and manage purchase orders Assist with new location launches and operational setup Document processes and operational improvements Pull and analyze performance reports as neededQualifications 2 years in operations, administration, hospitality, or similar hands-on roles Extremely organized with strong attention to detail Comfortable in a hybrid role (Brooklyn office 3 days per week) Able to perform physical tasks and lift up to ~30 lbs Strong communicator who thrives under pressure Self-starter with an ownership mindset—anticipates needs and takes initiative Reliable, punctual, and team-oriented Comfortable traveling between NYC locations as needed
