Job Title: Enrollment Specialist/Admin Asst Wage/Hour Status: Non-exempt/233 days

Primary Purpose: The primary role of this position is to support iUniversity Prep in enrollment and growth of our program. In addition, this role supports the traditional registrar and student data secretary duties along with administrative assistant duties.
Qualifications:
Education/Experience:
High School diploma or equivalent
Two years data entry experience
Previous experience in an educational setting preferred
Special Knowledge/Skills:
Proficient computer skills, including demonstrated ability to develop spreadsheets and databases
Proficient word processing, keyboarding, and file maintenance skills
Effective organization, communication, and interpersonal skills
Knowledge of District organization and operations
Ability to operate office equipment
Major Responsibilities and Duties:
Enrollment, Marketing, Records and Student Growth
- Enrollment
- Process and review all incoming applications for enrollment compliance
- Provide ongoing communication to applicants about their status and qualifications for school enrollment
- Provide ongoing assistance to families throughout the enrollment process
- Maintain high understanding of school processes, procedures, school activities, and be able to adequately explain this to potential families
- Be knowledgeable about Texas and TEA guidelines for virtual school enrollment
- Participate in all enrollment meetings, set goals for enrollment and work collectively to reach goals.
- Participate in refinement of enrollment processes
- Collect and upload documentation for special circumstances, communicate with the administration team of any reviews needed.
- Support registration of summer entrance exams and review testing scores for compliance
- Attend iUPrep Information Sessions to provide assistance in answering questions about the school and enrollment process.
- Marketing
- Serve as the primary point of contact for prospective families, providing personalized support and addressing concerns about online learning.
- Attend school wide functions and marketing events to support ongoing marketing efforts of the school.
- Assist with planning and executing marketing events
- Provide administrative assistance to marketing specialists to support overall marketing efforts
- Data/File Management
- Collect and enter student attendance data into an established database and verify accuracy of data according to established procedures.
- Collect and enter student demographic and PEIMS data into an established database and verify accuracy of data according to established procedures to ensure data integrity according to TEA (Texas Education Agency) standards.
- Conduct TEA PEIMS audit, running pre-PEIMS reports to locate and correct errors if necessary prior to annual PEIMS reporting deadlines.
- Review and maintain immunization records, work with families to ensure all students are in compliance according to the law.
- Records and Reports
- Maintain and update physical and computerized records, including critical student data, student cumulative folders, student registration and application information.
- Process new student records, including requesting transcripts and records from other schools, adding student health records, creating cumulative folder, online record exchange, and entering student data in appropriate databases.
Administrative Assistant and Counselor Assistant
- Provide administrative assistance support to iUniversity Prep Deans
- Manage schedules and support communication
- Support testing organization for state and national exams
- Support 504 and Sped data entry and records keeping
- Support creation and maintenance of returning student registration including presentations and course selection guide
- Support counselors in returning registration
- Assist with onboarding new student transcripts and maintaining grade records
