Due to continued growth, we are looking for an Engineering Department Administrator to support our team in White Plains, NY. In this role, you will play a critical role in supporting the engineering and operations teams by organizing, extracting, and translating technical data into actionable formats. This position requires a high level of proficiency in Excel, strong attention to detail, and the ability to interpret construction drawings to support estimating, design, and field execution. This role serves as a bridge between engineering, vendors, and field teams—ensuring accurate data, material alignment, and efficient workflow execution.
Key Responsibilities:
Data Management & Analysis:
- Develop, maintain, and manage advanced Excel spreadsheets, including complex formulas, structured tables, and data validation
- Extract, organize, and standardize data from drawings, notes, and field inputs into usable formats
- Maintain accuracy and consistency across multiple datasets and project files
Drawing & Design Support:
- Perform detailed site counts from construction drawings (devices, components, quantities, etc.)
- Interpret and extract relevant information from construction documents
- Convert drawing information into Excel-based tools and summaries for internal and field use
- Support engineering team with document preparation and data structuring
Vendor & Material Coordination:
- Request and compile vendor quotes for materials and equipment
- Review part numbers and ensure alignment with project specifications
- Communicate with vendors regarding product details, pricing, and availability
- Assist in building and maintaining material lists and Bills of Material (BOMs)
Cross-Functional Support:
- Collaborate with Engineering, Project Management, and Field Teams
- Support pre-construction and execution efforts through organized data delivery
- Assist in developing standardized tools, templates, and workflows
Qualifications
Required:
- Advanced proficiency in Microsoft Excel (formulas, tables, data manipulation)
- Strong analytical and organizational skills
- Ability to manage multiple priorities simultaneously
- Strong communication skills
Preferred:
- Experience reading construction drawings
- Familiarity with site takeoffs / device counts
- Experience with Bluebeam Revu and/or AutoCAD
- Background in construction, fire protection, or security systems
