Job Description
Position Title: Site Director
Reports To: Executive Director
Organization: Itasca Life Options
Position Summary
The Site Director is responsible for the daily operations of their assigned worksite, ensuring a positive, safe, and respectful environment for staff and individuals receiving services. The Site Director oversees program implementation, staff supervision, and service coordination while ensuring compliance with licensing requirements. This position collaborates with other Site Directors, the Dragonfly Coffee Manager, and Administration to support the mission and vision of Itasca Life Options.
Essential Duties and Responsibilities
Service Coordination
- Design and implement goals and outcomes for individuals receiving services based on their preferences and needs.
- Maintain up-to-date program records and documentation.
- Plan and coordinate Service & Support Plan addendums for individuals served.
- Develop task analyses and training methods to support outcomes.
- Create and maintain charting materials for tracking progress.
- Review data collection and prior reports within Itasca Life Options files.
- Develop person-centered goals and outcomes for discussion at IDT meetings.
- Ensure all consents and annual documentation remain current in compliance with 245D requirements.
- Train staff on CSSP, Self-Management Assessments, IAAPs, and outcomes; provide updated copies following annual reviews or plan changes.
- Maintain direct experience working with clients and incorporate staff feedback regarding service delivery.
- Communicate with client IDT teams regarding behavioral concerns, incidents, accidents, or health issues.
- Compile end-of-month outcome data and maintain accurate service documentation.
- Ensure accurate client attendance tracking, including arrival, departure, and absences.
- Communicate client schedule changes to the Administrator for transportation coordination.
- Represent the organization at meetings, workshops, and professional development opportunities that support program improvement.
Staff Supervision
- Participate in interviewing, hiring, and training qualified staff members.
- Provide ongoing training and professional development in areas such as 245D requirements, individual service plans, and program implementation.
- Directly supervise all employees at the site, including Lead Staff, Store Managers, Medication Managers, and Direct Support Professionals.
- Foster a supportive team environment where staff input is encouraged and valued.
- Ensure team members demonstrate and support the mission and vision of Itasca Life Options.
- Address staff concerns and document disciplinary actions when necessary.
- Conduct staff performance evaluations at three months and annually.
- Develop and maintain staff schedules while considering part-time and full-time status.
- Review and collect staff timecards and submit them to the Executive Director at the end of each pay period.
- Update staffing schedules to maintain required client ratios.
- Plan and facilitate monthly staff meetings and submit meeting agendas and documentation to Administration.
- Serve as a substitute staff member when necessary to maintain required staffing ratios.
Program Operations
- Oversee the design and implementation of the daily program schedule in collaboration with Lead Staff(s).
- Support Lead Staff in creating adaptive and meaningful programming opportunities, coordinating client outings and special events.
- Serve as the primary point of contact during site emergencies.
- Maintain a presence and availability at the site during programming hours.
- Communicate with other Site Directors regarding staffing and transportation coordination.
- Monitor program spending and ensure expenses remain within the budget established by the Executive Director.
- Provide tours and program information to interested individuals and community members.
- Ensure proper medication administration procedures are followed according to agency policy.
- Monitor staff performance to ensure clients receive consistent, respectful, and high-quality services.
- Promote and maintain compliance with service and safety standards.
- Maintain a clean, organized, and presentable worksite that meets health and safety standards.
- Report vehicle or facility maintenance needs to the Administrator.
- Attend Site Director meetings twice per month.
- Perform other duties as assigned by the Executive Director.
Qualifications
- Experience working with individuals with disabilities or in human services preferred.
- Leadership or supervisory experience preferred.
- Knowledge of person-centered planning and service coordination practices.
- Familiarity with 245D licensing requirements preferred.
- Strong organizational, communication, and team leadership skills.
Working Conditions
- Work is performed primarily at program sites and in the community.
- Position may require standing, walking, lifting, and assisting individuals receiving services.
- Occasional travel for community activities, meetings, or training may be required.
