HR, QA, and Billing Operations- Full-Time
Compensation: $55,000 – $65,000 / year performance bonus
Reports To: Director of Operations / CEO
About the Role- It Takes A Family is a multi-site, mission-driven behavioral-health organization. We are seeking an Administrative Manager who can think like an operator, lead like a coach, and execute like a seasoned administrator. This person will own three critical functions: Human Resources, Quality Assurance, and Billing Oversight. You won’t see clients; you’ll manage the systems and people who make sure every clinician, bill, and compliance record runs on time, accurately, and in alignment with our standards. This role is ideal for someone who thrives on structure, accountability, and building operational calm out of complexity.
Key Responsibilities:
Human Resources Coordinate all HR processes: onboarding, credentialing, personnel files, background checks, performance reviews, and off-boarding. Partner with site managers to track licenses, and hire for their location. Maintain compliance with state and federal labor regulations (NJ and MD).
Quality Assurance (QA) Supervise QA Coordinator and VA support staff. Monitor 7-day documentation completion, quarterly audit results, and corrective action plans. Maintain QA dashboards and coordinate policy updates with leadership.
Billing Oversight Oversee billing workflow and reconciliation in coordination with Billing Lead.Track weekly collections, denials, and resubmissions. Prepare monthly financial performance summaries for leadership.
Leadership & Systems Lead weekly admin huddles with QA, billing teams and intake & referral. Build checklists and SOPs that reduce re-work and clarify accountability. Partner with Operations Director to improve communication between clinical, billing, and admin departments.
Qualifications Bachelor’s degree required; Master’s preferred (HR, Business, Healthcare Administration, or related).Minimum 5 years of administrative or operations management experience, preferably in healthcare, behavioral health, or a multi-site service organization. Strong HR and compliance experience required (HR onboarding, credentialing, or HRIS management). Excellent command of Excel, SharePoint, and Microsoft 365 Suite. Proven ability to manage staff, meet deadlines, and enforce accountability with professionalism. Comfortable working with metrics, dashboards, and reporting systems.
