Role Description The Legal Administrative Assistant is a full-time, on-site role based in Chicago, IL. This role supports daily legal operations by organizing and managing case files, preparing and proofreading legal documents related to process service and skip tracing, and maintaining accurate records in case management systems. The Legal Administrative Assistant will communicate regularly with attorneys, internal staff, and external parties to obtain information, schedule services, confirm details, and follow up on outstanding tasks. Responsibilities include handling incoming phone calls and email correspondence, data entry, scanning and filing documents, and tracking deadlines to ensure timely completion of assignments. The role also involves assisting with basic research, generating status reports, and supporting process servers and investigators with the documentation and information they need to fulfill client requests.
Qualifications
- Foundation in Law and Legal Document Preparation, including familiarity with legal terminology, document formats, and court-related procedures.
- Strong Administrative Assistance and Organization Skills, with the ability to manage multiple cases, maintain accurate records, and prioritize time-sensitive tasks.
- Effective Communication skills, both written and verbal, for interacting professionally with attorneys, clients, and internal team members.
- Proficiency with office software (e.g., MS Office, databases, or case management systems) and ability to learn new tools quickly.
- High level of discretion and integrity when handling confidential information.
- Attention to detail and accuracy in data entry, document preparation, and recordkeeping.
- Ability to work on-site in Chicago, IL, in a fast-paced, deadline-driven environment.
- Previous experience in a legal, investigative, or professional office setting is preferred.
- High school diploma or equivalent required; additional coursework or a certificate in legal studies, paralegal studies, or a related field is a plus.
