Job Summary
The Administrative Assistant / Purchaser provides administrative support to the office while assisting with purchasing activities, vendor coordination, and order tracking. This role helps ensure smooth daily operations by managing documentation, maintaining records, coordinating purchase orders, and supporting inventory and procurement processes. Strong organizational and Microsoft Excel skills are essential for tracking orders, managing vendor information, and preparing reports.
Key Responsibilities/Administrative Duties
- Provide general administrative support including filing, scheduling, and document management.
- Answer and direct phone calls, emails, and correspondence.
- Maintain organized records, reports, and office documentation.
- Assist with data entry, report preparation, and office coordination.
- Support management with administrative tasks and special projects.
Purchasing Duties
- Assist with sourcing and purchasing materials, supplies, or products from vendors.
- Create and track purchase orders.
- Communicate with suppliers regarding pricing, product availability, and delivery schedules.
- Monitor inventory levels and coordinate reorders when necessary.
- Maintain vendor records and purchasing documentation.
- Help compare supplier pricing and prepare cost analysis reports using Microsoft Excel.
- Coordinate with warehouse, operations, or management regarding order needs and deliveries.
Qualifications
- High school diploma or associate degree in Business Administration or related field preferred.
- 1–3 years of administrative or purchasing experience.
- Strong Microsoft Excel skills (spreadsheets, formulas, data tracking).
- Proficiency in Microsoft Office (Word, Outlook, Excel).
- Strong organizational and multitasking skills.
- Good communication and problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced environment.
