Orthodontic Scheduling Coordinator
- Please Note: This is a full-time position that is shared between our Seattle and Redmond locations. Candidates must be able to reliably commute to both offices as part of their regular work schedule.
iSmile Orthodontics is seeking a friendly, organized, and highly motivated Scheduling Coordinator to join our team. This role is ideal for someone who enjoys building relationships with patients, keeping schedules running efficiently, and creating an exceptional patient experience from the first phone call through treatment completion.
Key Responsibilities
Patient Scheduling & Coordination
- Manage the daily doctor and clinical schedules to maximize efficiency and patient flow.
- Schedule consultations, treatment starts, adjustment appointments, retainer checks, and follow-up visits.
- Coordinate appointment scheduling between two locations when needed.
- Maintain productive schedules while minimizing gaps, cancellations, and downtime.
- Confirm appointments and proactively manage patient communications regarding scheduling changes.
Patient Experience & Communication
- Serve as one of the primary points of contact for patients and families.
- Welcome new patients and help guide them through the orthodontic treatment process.
- Deliver outstanding customer service with a focus on creating a warm, positive, and professional experience.
- Answer incoming calls, emails, and text messages promptly and professionally.
- Build strong relationships with patients, parents, referral offices, and team members.
Office Operations
- Support front office operations to ensure smooth daily workflow.
- Maintain accurate patient records and documentation using orthodontic practice management software.
- Assist with patient correspondence, referrals, and administrative projects.
- Participate in morning huddles and team meetings to improve communication and office performance.
- Collaborate closely with doctors, treatment coordinators, and clinical staff to ensure excellent continuity of care.
Requirements
- Minimum of 2 years of experience in a dental or orthodontic office preferred.
- Experience with orthodontic or dental practice management software (Cloud9, Dolphin, Ortho2, or similar) preferred.
- Exceptional organizational and multitasking skills.
- Strong verbal and written communication abilities.
- Positive attitude, professionalism, and attention to detail.
- Ability to thrive in a fast-paced, team-oriented environment.
